This position is responsible for assisting the dispatch team, maintaining accurate records, processing paperwork, monitoring job status, and helping ensure smooth communication between dispatchers, drivers, customers, and management. The ideal candidate is someone who can work independently, stay organized in a fast-paced environment, follow established procedures, has basic logistical knowledge and remain professional when handling multiple priorities. Key Responsibilities Dispatch Support Assist the primary dispatcher with daily dispatch operations and workload management. Monitor active calls and job statuses to ensure accurate tracking and documentation. Communicate with drivers regarding job assignments, updates, completion times, and other necessary information. Answer incoming calls and assist customers, motor clubs, law enforcement agencies, repair facilities, and other business contacts as needed. Relay accurate information between dispatch, drivers, customers, and office personnel. Provide relief coverage for dispatch duties during breaks, shift changes, absences, and periods of increased workload. Escalate emergencies, customer complaints, service delays, and other significant issues to the appropriate supervisor. Back-Office Administration Enter and update service calls, customer information, vehicle details, and job notes in the company’s dispatch system. Review completed calls for accurate job information, timestamps, service details, and required documentation. Organize and maintain dispatch records, work orders, receipts, and other company paperwork. Assist with preparing completed service calls for billing and invoicing. Identify missing information, incomplete paperwork, or discrepancies and bring them to the appropriate person's attention. Maintain organized electronic and physical records according to company procedures. Evening Shift Operations Help ensure all open calls and pending assignments are properly documented and communicated during shift transitions. Monitor outstanding jobs and follow up on service calls as directed. Maintain clear, accurate notes for the next dispatcher or office employee. Maintain a professional, calm, and productive work environment throughout the shift. Qualifications and Requirements Strong organizational skills and attention to detail.
