If you have experience working with collision repair parts, dealerships, automotive parts, or body shop operations and know how important accurate, on-time parts are to keeping a shop moving, we want to hear from you. Our Parts Coordinator plays an important role in the entire repair process—working closely with estimators, technicians, production, management, dealerships, and vendors to make sure the right parts are ordered, received, verified, and ready when they're needed. Growth opportunities within our company Paid training including industry certifications, I-Car & OEM Position Summary The Parts Coordinator is responsible for overseeing the procurement, receiving, organization, and management of all parts required throughout the collision repair process. This role ensures the right parts are available at the right time to support efficient production, minimize repair delays, and maintain profitability. Working closely with the General Manager, Estimators, Production Manager, and Technicians, the Parts Coordinator is accountable for inventory accuracy, vendor relationships, parts-related key performance indicators (KPIs), and delivering exceptional operational support throughout the repair process. Key Responsibilities Order parts from approved vendors and dealerships based on repair estimates, blueprints, and supplements. Monitor parts availability and proactively communicate delivery schedules, back orders, and delays to estimators and production staff. Receive, inspect, verify, and document all incoming parts to ensure accuracy and quality. Perform mirror matching of parts to repair orders before repairs begin to verify proper fit and completeness. Identify damaged, incorrect, or missing parts and coordinate prompt returns, replacements, and vendor credits. Maintain accurate inventory records and update parts status within the shop management system. Track and monitor all parts deliveries to ensure production schedules remain on target. Build and maintain strong working relationships with vendors, dealerships, and suppliers to ensure timely delivery and quality service. Collaborate with the General Manager, Production Manager, Estimators, and Technicians to resolve part-related issues that could impact repair timelines. Monitor and drive parts-related key performance indicators (KPIs), including parts cycle time, gross profit, inventory accuracy, and return rates. Maintain an organized, clean, and efficient parts department while ensuring proper storage and handling of inventory. Ensure compliance with company policies, OEM repair procedures, and safety standards. Coach and support Parts Clerks or other parts department team members as applicable.
