Hearing And Balance AssociatesOverview We are seeking a dedicated and detail-oriented Audiology Assistant to join our private practice team. The ideal candidate will possess a strong foundation in clinical audiology procedures, patient care, and medical software systems. The successful applicant will demonstrate excellent communication skills, a passion for patient service, and a thorough understanding of audiological practices within a professional clinical environment. You will balance clinical support with essential front-office coordination, directly contributing to practice growth, patient satisfaction, and smooth day-to-day operations. Duties Administrative Coordination (60%) Front Desk Management: Greet patients, coordinate intake paperwork, and manage checkout procedures including payment collection. Schedule Optimization: Manage the practice calendar to reduce gaps, schedule routine clean-and-checks, and prioritize urgent repair requests. Insurance & Billing: Verify insurance benefits, obtain prior authorizations, and submit audiology claims to billing departments or insurers. EHR Management : Maintain accurate documentation of patient records using electronic medical records (EMR/EHR) systems while ensuring confidentiality and compliance with privacy regulations. Keep meticulous patient records in specialized private practice software (e.g., Blueprint (currently using), Sycle or CounselEAR). Billing & Marketing: Collect copays and device deposits, issue invoices, and assist with local marketing mailers or recall campaigns for annual testing. Vendor Liaison: Track incoming and outgoing manufacturer orders for custom earmolds, repairs, and stock devices. Inventory Management : Assist with inventory management of medical supplies and hearing aid accessories to ensure availability for daily operations. Warranty Tracking : Manage and track hearing aid repair warranties and loss/damage insurance, proactively contacting patients whose coverage is expiring. Patient Experience & Sales Support (20%) Walk-In & Triage Care : Run the "Hearing Aid Walk-In Clinic," troubleshooting immediate device issues, cleaning receivers, changing wax guards, and replacing domes. Accessory Sales: Educate patients on and sell hearing aid accessories, batteries, and assistive listening devices (ALDs). Onboarding Support: Assemble patient orientation packages and assist with technology pairing (e.g., Bluetooth/smartphone app setup). Clinical & Lab Support (20%) Sterilization & Upkeep : Clean and sterilize clinical instruments, otoscopes, and booths between patient appointments. Otoscopy & Impressions : Perform preliminary video otoscopy and assist the audiologist with earmold impressions as permitted by state regulations. Inventory Control: Monitor stock levels of clinical consumables and hearing aid test kits, placing replenishment orders as needed. Qualifications & Skills Proficiency in medical terminology relevant to audiology and hearing healthcare. Experience operating medical equipment used in audiological assessments and hearing aid programming. Knowledge of hearing assessment techniques such as pure-tone audiometry, speech testing, and otoacoustic emissions testing. Familiarity with patient management software including NOAH, Hearing Aid Fitting Software, and EMR/EHR systems. Understanding of anatomy and physiology related to the auditory system for accurate patient assessment. Strong customer service skills with the ability to communicate effectively with diverse patient populations, including pediatrics. Ability to perform hearing aid fittings accurately while utilizing ICD coding for billing purposes when necessary. Awareness of occupational health standards to ensure a safe clinical environment for staff and patients. Technical Aptitude: Strong comfort level troubleshooting consumer electronics (smartphones, Bluetooth connectivity, apps).
