Job Summary

The Assistant Operations Administrator plays a key role in supporting the Operations Department by servicing clients and assisting Operations Administrators and branch teams. This position ensures the smooth execution of daily workflows and delivers exceptional client service. The role involves regular interaction with clients, Bank Officers, and internal staff to meet operational requirements efficiently.

The ideal candidate will have a strong working knowledge of Operations Officer, Utility, and Customer Service Representative (CSR) responsibilities and be capable of stepping into any of these roles as needed. This position also performs various branch functions and serves as a reliable backup for branch staffing across locations.

Essential Duties and Responsibilities

  • Support daily operations across branches, including transaction processing, account maintenance, client service, and teller assistance.
  • Assist with policy and procedure implementation, staff training, and workflow improvements.
  • Review certifications, new accounts, and audit documentation for compliance and accuracy.
  • Maintain operational standards, security protocols, and risk mitigation practices.
  • Resolve client inquiries and escalated issues across multiple service channels.
  • Stay current on regulatory guidance and bank policies related to new accounts and compliance.
  • Provide staffing coverage across branches, including travel to Northern California offices.
  • Open/close branches and manage cash shipments and vault operations as needed.
  • Support onboarding and cross-training of staff to ensure operational readiness.
  • Perform other duties and special projects as assigned.
  • Ensure compliance with Bank policies, procedures, and applicable regulations including BSA/AML and OSHA standards.

Minimum Qualifications

Education/Training/Experience:

Required: High school diploma or equivalent. Five years of related bank operations experience required. Minimum 3 years of bank supervisory or equivalent experience required.

Desirable: Bachelor’s degree in business administration, finance, or closely related field. 

Knowledge of: 

  • Banking laws, bank policies, procedures, and regulations
  • Basic mathematical skills
  • Basic computer software and applications
  • Microsoft Outlook, Word, Excel, Teams
  • Video conferencing platforms
  • New account setup and documentation

  • Strong interpersonal and communication skills
  • Assertiveness balanced with patience, diplomacy, and empathy
  • Professional communication in person, by phone, and via email
  • Well-organized and self-motivated; able to manage priorities and meet deadlines
