Assistant Fleet Service Coordinator
Mulholland Energy Services, LLCJoin Our Team Mulholland Energy Service s is seeking a highly organized and detail-oriented Assistant Fleet Service Coordinator to support our fleet maintenance operations in Midland, Texas . This position plays a critical role in ensuring fleet equipment remains operational by assisting with maintenance scheduling, repair order administration, vendor coordination, and communication between drivers, technicians, and fleet personnel. The ideal candidate will have experience in fleet maintenance support, automotive service, dispatch, parts administration, or a related field and thrive in a fast-paced environment where attention to detail and follow-through are essential. Key Responsibilities Assist with opening, updating, and closing repair orders within CMMS Lite or other fleet maintenance systems. Receive and document vehicle issues, service requests, repair information, and equipment status updates. Coordinate preventive maintenance schedules, DOT inspections, and vendor service appointments. Monitor upcoming and overdue maintenance requirements to help reduce equipment downtime. Follow up with shop foremen, technicians, and vendors regarding repair progress, parts availability, delays, and estimated completion dates. Obtain repair estimates and route requests for appropriate approval before work begins. Coordinate parts orders, deliveries, pickups, and returns with vendors and parts personnel. Maintain accurate fleet records, including repair histories, inspection reports, invoices, and warranty documentation. Review repair orders to ensure labor, parts, and supporting documentation are complete and accurate. Support warranty claim tracking, maintenance reporting, and equipment downtime monitoring. Assist with vehicle transfers to and from repair facilities and vendor locations when authorized. Verify repair completion documentation prior to communicating vehicle availability. Provide administrative support to the Fleet Service Coordinator and adhere to company safety and purchasing procedures. Qualifications High school diploma or equivalent required. Previous experience in fleet maintenance support, automotive service, parts management, dispatch, or a related administrative role preferred. Basic understanding of vehicle maintenance processes and willingness to learn fleet management systems. Proficiency with Microsoft Excel, Microsoft Office, email communication, and data entry. Strong organizational skills with the ability to manage multiple priorities effectively. Excellent communication and follow-up abilities. Strong attention to detail and problem-solving skills. Valid Commercial Driver's License (CDL) preferred but not required . Experience working with heavy trucks, trailers, hydrovac equipment, or oilfield fleet operations.
