Navajo Housing AuthorityJob Summary Asset Coordinator Job Description JOB VACANCY ANNOUNCEMENT Class Summary: Coordinates the tracking, inventory, maintenance scheduling, and disposition of Navajo Housing Authority capital assets, equipment, vehicles, and housing units. The position maintains asset records and databases, conducts physical inventories, supports valuation and depreciation reporting, and coordinates asset transfers and surplus actions with departments, vendors, and auditors. All duties are performed in accordance with Navajo Housing Authority policies, procedures, and safety standards. Responsibilities: Maintains the Authority's asset management database, ensuring accurate records of acquisition, location, condition, custodian, and disposition for all capital and controlled assets. Conducts and reconciles periodic physical inventories of property, equipment, vehicles, and housing units, and documents variances for management review. Tags, records, and tracks newly acquired assets from receipt through placement in service. Coordinates asset transfers, relocations, surplus declarations, and disposal actions in accordance with Authority policy and applicable federal requirements. Prepares asset reports, schedules, and supporting documentation for management, auditors, and funding agencies. Reconciles asset records with purchasing, accounts payable, and general ledger data in coordination with the Finance Department. Monitors warranties, service agreements, licenses, and preventive maintenance schedules for assigned assets. Assists with insurance schedules, loss reporting, and claims documentation for damaged, lost, or stolen property. Provides guidance and training to departmental property custodians on asset control procedures and recordkeeping requirements. Maintains asset files, supporting documentation, and records retention in physical and electronic systems. Complies with all Navajo Housing Authority safety policies and procedures. Performs other duties as assigned. Required Skills: Asset and property management principles, including acquisition, inventory, depreciation, and disposition. Federal property standards applicable to federally funded programs, including 2 CFR Part 200 property requirements. Recordkeeping, documentation, and records retention practices. Basic accounting and reconciliation principles. Microsoft Office, with intermediate proficiency in Excel, and asset management or enterprise resource planning software. Maintaining accurate inventory records and researching and resolving discrepancies. Preparing clear reports, schedules, and supporting documentation. Organizing work, setting priorities, and meeting recurring reporting deadlines. Coordinating with departments, vendors, and auditors. Required Experience: Valid Driver’s License Associate degree in business administration, accounting, or a related field preferred. Five (5) years of experience in asset or property management, inventory control, procurement, or accounting support required.
