The ideal candidate is comfortable working in a fast-paced environment, managing multiple shipments at once, communicating with airlines, customs brokers, trucking companies, warehouses, overseas agents, and customers, and following up on issues until they are resolved.
This is a hands-on operations position that provides an opportunity to develop strong experience in international freight forwarding, air import operations, customs procedures, and supply chain management.
Key Responsibilities
1. Air Import Shipment Operations
• Coordinate the end-to-end handling of air import shipments from arrival through final delivery.
• Monitor flight arrivals, shipment status, cargo availability, and delivery requirements.
• Communicate with airlines, freight forwarders, overseas agents, customs brokers, trucking companies, warehouses, and customers.
• Confirm shipment details, arrival information, cargo availability, and pickup requirements.
• Follow up on shipments to ensure timely movement and avoid unnecessary delays, storage, or additional charges.
• Update internal systems and records accurately and in a timely manner.
2. Customs Clearance & Documentation
• Review import documentation for completeness and accuracy.
• Coordinate with customs brokers regarding customs clearance, entry information, documentation requests, and cargo release.
• Monitor customs clearance status and promptly follow up on pending shipments.
• Assist with resolving documentation discrepancies, customs holds, exams, and other clearance issues.
• Ensure required shipment information is communicated to the appropriate parties.
3. Airport, Warehouse & Trucking Coordination
• Monitor cargo availability and coordinate timely pickup from the airport.
• Coordinate with trucking companies to arrange pickups and deliveries.
• Work closely with warehouse personnel regarding receiving, unloading, sorting, storage, delivery preparation, and shipment disposition.
• Coordinate transfers between airport facilities, warehouses, and final delivery locations.
• Follow up on cargo that is delayed, missing, damaged, short, or otherwise requires additional attention.
• Help minimize airport storage, warehouse, demurrage, and other avoidable operational charges.
4. Customer & Internal Communication
• Provide timely shipment updates to customers and internal teams.
• Respond professionally to operational questions and requests.
• Communicate delays, exceptions, and changes in shipment status as soon as they are identified.
• Coordinate with customer service, warehouse, accounting, and management teams to ensure smooth shipment execution.
• Maintain clear and accurate records of communications and operational activities.
5. Exception & Problem Resolution
• Identify shipment issues before they become larger operational problems.
• Investigate delays, missing documents, customs holds, delivery failures, incorrect shipment information, and other exceptions.
• Communicate with the appropriate parties to determine the cause of an issue and coordinate a solution.
• Follow up consistently until outstanding issues are resolved.
• Escalate urgent or high-impact issues to management when necessary.
6. Billing & Operational Cost Control
• Review shipment-related charges and compare them against operational records.
• Assist with reviewing airline, airport, trucking, warehouse, customs, and other service charges.
• Help ensure operational charges are accurate and properly documented.
• Monitor shipments for avoidable storage, handling, waiting, and other additional
