Biltmore EstateJob Description JOB SUMMARY The Agricultural Logistics Coordinator is a departmental leadership position that will support the planning and administering Biltmore’s Agricultural programs. Responsibilities include, but are not limited to: supporting and developing Agricultural programs at Biltmore; assisting with budget and data analysis; and operations administration, as well as all logistics related to agriculture operations. In addition to logistical support, candidate will manage all animal data collection, manipulation and reporting as well as management of the employee meat sales program and oversee fulfillment of all Biltmore Grown products, including food service, retail and outside partners. The applicant will assist with hands on participation and support of all, but not limited to, the duties listed below. This position will provide administrative, logistical, analyst, retail and revenue/budget support to the Agriculture Director and related agriculture managers and crew leaders. ESSENTIAL JOB DUTIES 1.Execution of processing appointments and invoicing; Monitor revenue, expenses, margins and budget variances. 2. Coordinate with Biltmore Estate Food and Beverage restaurants, chefs, purchasing, and growers for Biltmore Grown products including beef, pork, lamb, and farm fresh eggs. Involves coordinating all PO orders, delivering product to restaurants, and delivering livestock to processors. 3. Cattle, Sheep, and Swine records as well as continued update of CattleMax and other appropriate programs. Includes validating, analyzing and reporting livestock performance data. 4. Provide accounting record support. Manage month end reports for accounting department; including organizing expenses from monthly financial statements for multiple agriculture departments to track expense ratios 5. Livestock prescription tracking and reporting for all animal entities to prescribing veterinarian 6. Maintain inventory controls, reconcile discrepancies and forecast future requirements of all agriculture products and inventory accounts. 7. Maintaining calving, lambing, swine, and processing records to aid in departmental budget forecasting 8. American Angus; American Dorper; and American Berkshire Associations data input; administration for registration and certificate transfers; data input for the Maternal Plus program. 9. Count, allocate, and rotate fresh and frozen inventory for Biltmore Grown e-commerce, Employee Meat Sales, and Estate Food & Beverage product fulfillment 10. Work alongside and coordinate with Biltmore Shop teams to develop Biltmore Grown product line and support business area development 11. Manage weekly all incoming Biltmore Grown e-commerce orders from Biltmore Shop with accuracy and facilitate packaging and ship Biltmore Grown product in compliance with Food and Safety guidelines. Also provide customer service support to Biltmore Shop Guest Services regarding Biltmore Grown 12. Provide logistical support for travel arrangements for agriculture delegations and out of town guests; making itinerary for extension and veterinarian visits, coordinating with all involved groups ADDITIONAL RESPONSIBILITIES The Agriculture Logistics Coordinator exercises independent judgment within established policies, budgets, and management direction. Routine decisions include: 1. Reviewing livestock, financial, sales, and inventory records for accuracy and resolving discrepancies. 2. Prioritizing processing appointments, deliveries, order fulfillment, inventory allocation, and coordination with internal and external partners. 3. Managing product inventory and rotation to support food safety, availability, order accuracy, and reduced loss. 4. Resolving routine invoicing, registration, customer-service, and fulfillment issues. 5. Recommending improvements to reporting, record keeping, inventory control, and logistical processes.
