We’re looking for: The Agency Coordinator maintains a customer-focused environment, providing inventory and exemplary customer service support to Feed More’s agency pick-up ramp. This position is responsible for the accurate, timely, and professional loading of inventory into agency vehicles. The Agency Coordinator’s duties include controlling rear gate entry, retrieving and coordinating Agency pick-ups when they arrive at Feed More and assisting all other warehouse functions as needed. Department: Operations Reports To: Operations & Distribution, Senior Manager FLSA Status: Full-Time, Hourly, Non-Exempt Supervisory Responsibilities: None Budgetary Responsibilities: None Typical Hours: 7:00 am - 3:30 pm What you’ll do: Retrieve Agency pick-up orders when they arrive at Feed More for their pick-up appointment, using load sheet to verify all pallets are staged ahead of appointment time and all pallets are collected by Agency. Shared responsibility of monitoring access to rear gate entry via app on phone in order to allow approved guests only entry to Feed More’s rear parking lot and docks. Operate MHE (Material Handling Equipment) as necessary, may include riding pallet jack, fork lift, etc. Collect payment from agency volunteers at pick-up and promptly submit to appropriate staff member for record keeping. If needed, pick orders in warehouse using RF scanners. Works directly with Operations management to quickly resolve questions, inconsistencies, and missing data on documents or within the database. Communicate any agency issues, order discrepancies, etc. to appropriate staff members in a timely manner. Establish and maintain effective and efficient data entry processes, including reports and inventory control measurements, ensure accurate input of all products into the inventory management database, validate items codes, descriptions, product poundage, and/or case counts. Maintain all required logs and schedules, including but not limited to cooler/freezer temperature logs, cleaning schedules, and pick-up appointments. Work in cooperation with Network Engagement staff to uphold agency and Feed More standards of conduct and address any service-related issues. Build a rapport with Agency representatives to identify opportunities and Volunteer Services to improve our volunteer’s experience. Provide excellent customer service to all agencies, donors, volunteers, staff, and other visitors to the Feed More Agency Pick-Up Area, while maintaining a high level of good stewardship. Keep a clean and organized workspace. Uphold all quality assurance standards, perform daily monitoring and review.
