**  The Advancement Operations & Data Specialist serves as the operational backbone of the Advancement team. This role is responsible for high-volume gift processing, Salesforce data management, reconciliation, donor acknowledgment production, and direct donor support.  This is a hands-on, detail-intensive position. The ideal candidate genuinely enjoys working in databases, values accuracy, and takes pride in clean, reliable data. While the role supports strategic reporting and campaign tracking, the majority of responsibilities center on precise and timely data entry, documentation, and donor record management 


  

Essential Duties and Responsibilities 

1. Gift Processing & Data Entry (Primary Focus)

· Process all philanthropic gifts (online, mail, events, wire transfers, stock, DAF, matching gifts, recurring gifts, pledges, corporate sponsorships) within 48 hours of receipt.

· Accurately code gifts to appropriate campaigns, appeals, funds, and designations in Salesforce.

· Maintain batch documentation and internal controls for audit purposes.

· Monitor recurring gifts and proactively flag failed or lapsed transactions.

· Maintain organized digital and physical documentation related to gift processing.

*This role requires comfort with consistent, detailed, and repetitive data entry tasks performed with high accuracy.


2. Salesforce CRM Management & Reporting

· Serve as the primary gift entry and advancement data lead within Salesforce.

· Maintain clean and accurate donor records, including householding and relationship management.

· Conduct routine data audits to ensure integrity and prevent duplication.

· Support advancement reporting needs including campaign performance, revenue tracking, donor retention, and board-level reporting.

· Assist with process improvements and system optimizations aligned with advancement strategy.

· Support data imports and integrations from digital giving platforms.

*Salesforce proficiency is essential for success in this role.


3. Acknowledgment & Donor Communications

· Create and generate all gift acknowledgment letters in coordination with Advancement leadership.

· Ensure acknowledgments are accurate, timely, and aligned with donor intent.

· Respond professionally and warmly to donor phone calls and email inquiries regarding gifts, receipts, recurring donations, or account updates.

· Provide clear explanations and resolve issues with care and precision.

· Maintain confidentiality and donor trust in all communications.


4. Reconciliation & Compliance

· Prepare daily, weekly, and monthly gift reports.

· Partner closely with Finance to reconcile gift revenue between Salesforce and accounting systems.

· Support annual audit preparation related to contributed revenue.

· Ensure compliance with nonprofit best practices and IRS charitable regulations.

· Maintain strict data security and confidentiality standards.

Working Conditions and Physical Requirements

While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands or fingers, handle or feel objects, tools, or controls. The employee is occasionally required to stand; walk; sit; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.

Requirements

  

Minimum Qualifications of Position

· 4+ years experience in nonprofit gift processing, advancement operations, or CRM-based revenue management.

· Demonstrated proficiency in Salesforce, including gift entry, reporting, and data management (NPSP strongly preferred).

· Strong working knowledge of nonprofit gift accounting and IRS charitable contribution regulations.

· Proven ability to manage high-volume, detail-oriented data entry with accuracy.

· Strong written and verbal communication skills.

· Ability to interact confidently and professionally with donors by phone and email.

· High attention to detail and commitment to data integrity.


Preferred Qualifications of Position

· Experience with online giving platforms and payment processing systems.

· Familiarity with advancement reporting and fundraising analytics.

· Basic understanding of accounting principles as they relate to contributed revenue.
