What You Will Be Doing:

Reporting to the Director of Admissions, the Admissions Operations Manager is responsible for managing the day-to-day operations of the admissions office and acting as an office manager. The Manager is responsible for overseeing all virtual and on-campus events, the student ambassador team, recruiter scheduling, and maintaining a welcoming, effective, and prospective student-focused office.

Essential Functions:

Operational/Event Management

  • Strategize, plan, and oversee implementation of all of the admissions office's visitation programs for undergraduate, online and graduate venues.
  • Cultivate strong, networked relationships with staff in the Admissions Office and other offices across the Institute.
  • Responsible for scheduling, organizing, and facilitating all incoming campus visit requests for individual and group visits to the undergraduate and graduate campuses.
  • Organize, manage, and execute all Experience Moody events. Communicate with visiting families. Collaborate with departments to arrange activities during the day and involve key Moody community members.
  • Oversee the Student Ambassador program. Build the program through referrals and direct recruitment efforts. Communicate with, schedule, and evaluate ambassadors to achieve successful visits. Manage all Student Ambassador activities and volunteer hours, both in and out of the office.
  • Cultivate a friendly, effective, and welcoming reception area within the Admissions office.
  • Manage Admission office space & Calendar (ordering office supplies, managing inventory, etc.)
  • Monitor expenditures for student stipends/admissions scholarships, student labor, office
  • supplies, and promotional materials.
  • Oversee and monitor the promotion budget.
  • Provide office support for Admissions and the Director of Admissions as needed.
  • Hire, onboard, and train all Junior Counselor Student Workers and ensure that they are providing proper communication to prospective students through phone, email, live chat, and text.
  • Manage the Admissions Office general email inbox to ensure accurate and quick responses.
  • Monitor the Moody website to ensure the information is accurate and up-to-date and submitting work requests when necessary.  
  • Conduct weekly or bi-weekly meetings with student workers to communicate current projects, updates, as well as lay the framework for operational efficiency

People Management

  • Provide oversight of the recruiters' schedule, ensuring events and offices are adequately staffed.
  • Co-lead venue meetings with the Assistant Director of Admissions to help keep recruiters on track for enrollment goals.
  • Provide oversight of the Student Ambassador Program, building the program through referrals and direct recruitment efforts.
  • Directly supervises all volunteer and paid student ambassadors as assigned in the Admissions organizational chart.
  • Interviews, hires, and trains student ambassadors.
  • Assigns and directs work for ambassador program.
  • Addresses complaints and resolves problems within team
  • Interviews, hires, trains, and supervises Part-Time Student Visitor Assistant.

Minimum Requirements:

  • The Assistant Director must possess analytical skills to solve problems that arise in the planning process
  • Successful candidates will demonstrate the ability to manage concurrent projects, strong customer service skills, excellent organizational and communication skills, and the ability to work within a team-focused, collaborative environment.
  • Must have a completed Bachelor’s degree (public relations or marketing preferred but not required)
  • At least 2-5 years’ experience in customer service, sales and/or event planning and/or an office environment preferred.
  • Organizational skills, planning, self-motivation, accountability, delegation, and evaluation are also essential.
  • Must possess leadership skills and a strong team focused attitude.
  • Must have a passion for Moody and recruiting undergraduate students.
  • Able to work in the US legally without sponsorship.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

This is a full-time professional position: Hours vary, M-F
