We are currently seeking a responsible, detail-oriented, and highly organized Administrative Specialist to join our team in Chino, CA. Key Responsibilities Answer incoming phone calls, handle correspondence, and route general emails to the appropriate departments or personnel. Purchase, maintain inventory of, and distribute office supplies and equipment. Operate and coordinate the maintenance of office equipment, including printers, copiers, and other office devices. Source and evaluate vendors, obtain and compare quotes, and maintain positive relationships with existing vendors. Coordinate warehouse-related purchases and projects, including forklifts, racking systems, facility renovations, network and electrical projects, insurance procurement, and other operational needs. Assist with government inspections and maintain administrative records and documentation required for regulatory compliance. Prepare, submit, organize, and maintain administrative documents and records. Prepare contracts, invoices, bills, quotations, and other administrative documents for management review and approval. Track administrative projects and coordinate with internal departments and external vendors to ensure timely completion. Perform other administrative duties and special projects as assigned by management. Qualifications High school diploma or equivalent required; previous administrative, office management, or related experience is preferred. Fluency in both English and Mandarin Chinese (speaking, reading, and writing) is required. Proficiency in Microsoft Office, including Word, Excel, and Outlook. Strong organizational skills with excellent attention to detail. Strong verbal and written communication skills. Ability to work independently and manage multiple tasks and priorities effectively. Strong sense of responsibility, follow-through, and teamwork. Compensation & Benefits Salary: $52,000–$62,000 per year, depending on experience and qualifications.
