United Recovery SolutionsAdministrative & Compliance Coordinator, IT Asset Disposition and Electronic Recycling Position Summary The Administrative & Compliance Coordinator provides direct administrative and operational support to management while serving as a key administrative contact for the Dallas facility. This position supports reception and front-office activities, coordinates compliance documentation, manages office and facility supplies, assists with vendors and service providers, maintains records, and supports the operation’s day-to-day administrative needs. The ideal candidate is highly organized, professional, detail-oriented, proactive, and comfortable working in a fast-paced manufacturing, recycling, logistics, and IT asset disposition environment. Key Responsibilities Management Support · Provide direct administrative support to management. · Manage calendars, meetings, appointments, correspondence, and follow-ups. · Prepare documents, reports, spreadsheets, presentations, and correspondence. · Track action items and follow up with employees, vendors, customers, and management. · Maintain confidential company and executive information. · Assist with special projects and other assignments from management. Reception & Office Administration · Serve as the primary receptionist and front-office contact. · Answer and direct incoming calls and visitors. · Receive, sort, and distribute mail and packages. · Maintain a professional reception and office environment. · Coordinate visitors, vendors, contractors, and appointments. · Maintain office files and administrative records. Compliance & Documentation · Assist management with maintaining company compliance records and documentation. · Maintain organized files for licenses, permits, inspections, certifications, training, insurance, and other regulatory documentation. · Track expiration dates and renewal requirements. · Maintain compliance calendars and notify management of upcoming deadlines. · Assist with preparation for audits, inspections, customer reviews, and certification activities. · Coordinate documentation with internal departments, vendors, customers, and outside consultants. · Maintain accurate records and ensure documents are properly filed and accessible. Purchasing & Supplies · Monitor office, warehouse, production, safety, and facility supply levels. · Order supplies and materials as authorized. · Obtain vendor quotes when necessary. · Track purchase orders, deliveries, invoices, and receipts. · Coordinate purchasing activities with accounting and management. · Establish organized inventory and reorder systems for frequently used supplies. · Help prevent stockouts and unnecessary purchases. Facility & Operations Administration · Assist with coordination of facility-related services and vendors. · Coordinate maintenance requests and follow up on open issues. · Assist with utilities, security, internet, janitorial, waste services, equipment services, and other facility needs. · Maintain vendor contact information and service records. · Help coordinate contractors and visitors entering the facility. · Support employee administrative needs at the facility. Employee & HR Administrative Support · Assist with onboarding paperwork and administrative coordination. · Maintain employee files and required documentation. · Coordinate employee communications and facility announcements. · Assist with training records and compliance documentation. · Support management with scheduling meetings and employee events.
