Kingsky flight academyAdministrative Assistant – Purchasing Lakeland, FL | Full-Time Schedule Full-time position Regular schedule: Tuesday - Saturday: 11:00 AM – 7:00 PM Primarily based at the West Building Reception Desk, with responsibilities throughout the office, maintenance hangar, and company apartments as needed. What You'll Do Purchasing & Inventory Management Receive aircraft parts requests from the Maintenance team, locate the required parts, and promptly deliver them to the hangar. Maintain accurate inventory records by updating the Quantum maintenance system and recording aircraft assignments for all issued parts. Monitor inventory levels and replenish commonly used maintenance supplies, including oil, filters, spark plugs, tires, and other consumables. Coordinate the disposal of used oil, worn tires, and other designated maintenance materials by scheduling collection with approved disposal vendors. Office & Facilities Support Process purchasing requests and assist with ordering office and operational supplies. Receive deliveries, verify shipments, organize inventory, and distribute supplies to the appropriate departments. Fulfill office supply requests, including paper, toner, key duplication, and other administrative materials. Maintain organized storage areas and appropriate inventory levels through routine inventory control and replenishment. Reception & Administrative Support Welcome visitors at the West Building Reception Desk and provide professional assistance by answering questions or directing them to the appropriate department. Answer incoming telephone calls and provide general administrative support to employees and visitors. Perform general clerical duties and other administrative responsibilities assigned by management. Company Apartments Replace air conditioning filters in company apartments twice each month. Collect and distribute mail from company apartments twice per week. Assist with other apartment-related administrative or logistical tasks as assigned. Qualifications Required High school diploma or GED. At least two years of experience in an administrative, purchasing, inventory, office support, or customer service role. Strong organizational skills with the ability to manage multiple priorities and maintain accurate records. Excellent computer skills and proficiency with Microsoft Office applications; ability to quickly learn inventory and purchasing software. Strong communication and customer service skills with a professional, positive attitude. High attention to detail and the ability to work independently with minimal supervision. Valid driver's license with an acceptable driving record. Preferred Experience with purchasing, inventory management, or warehouse operations. Experience using inventory management or enterprise resource planning (ERP) software such as Quantum. Experience working in an aviation, maintenance, manufacturing, or technical environment. Work Environment This position is based primarily at the West Building Reception Desk but requires frequent movement between office areas, inventory storage locations, the maintenance hangar, and company apartments. The successful candidate should be comfortable working in both office and light industrial environments while interacting with employees, vendors, and visitors throughout the day.
