Invera FlexiblesAdministrative Assistant / Front Desk Coordinator (part-time) Reporting directly to the Human Resources Director, the Administrative Assistant / Front Desk Coordinator will act as the first point of contact for the company by greeting visitors and employees, answering phone calls, distributing correspondence and performing various administrative tasks. This position is a part-time role and will work 25 – 30 hours per week. Roles and responsibilities · Greet and assist visitors in a friendly and professional manner. · Respond quickly and professionally to all phone calls, both internal and external. · Sort all mail received and prepare regular shipments of letters and parcels by external shipping services (Fedex, Purolator, UPS, etc.). · Organize and maintain lockers distribution including issuing of keys and records. · Update various documents and administrative follow-up reports. · Provide support to Edmonton Leadership team for any corporate events including catering and restaurant ordering. · Provide administrative support to other departments (eg Production, Human Resources, Finance, etc.). · Assist with travel arrangements and meeting coordination as required. · Maintain Contractor policy and records. · Manage office supply inventory and coordinate procurement requests with the Purchasing department to ensure uninterrupted office operations. · Ensure all Visitors receive Safety and on-site orientation as per policy. · Support recruitment activities, including posting jobs, scheduling interviews, and communicating with candidates. · Coordinate hearing tests, new hires and annual tests, maintain records. · Assist with employee engagement initiatives and HR projects. · Keep the premises presentable and clean (reception, conference rooms and kitchen). · Issuance of key fobs to new employees maintain database. · Coordinate onboarding and offboarding activities, including WhatsApp group administration, key fob issuance and recovery, and uniform ordering for new and departing employees. · Provide administrative support for employee expense reporting, ensuring accurate documentation, timely submission, and compliance with company policies. · Other duties as required. Qualifications and experiences · Diploma or certification in Administration or related field. · Have a minimum of two years of experience relevant to the position. · Excellent communication skills (verbal and written) in English, French skills would be an asset; · Ability to multitask and prioritize tasks. · Excellent time management skills. · Well-developed organizational skills. · Attention to detail. · Excellent computer skills including proficiency in computer tools such as MS Office. · Excellent listening skills and demonstrate diplomacy, tact, confidentiality and discretion at all times. · Highly professional behavior. · Autonomy and resourcefulness. · Must be reliable and punctual.
