Summary: We are seeking a highly organized and personable administrative professional to join a dynamic, fast-paced studio environment supporting a complex and creative organization spanning engineering, consumer products, partnerships, licensing, and franchise operations. This role is central to keeping the team running smoothly through expert calendar management, operational support, and a genuine enthusiasm for fostering a positive, people-first workplace culture. The role will contribute to managing complex executive and shared calendars, including rhythm-of-business, gate review, and operations calendars, as well as supporting distribution lists, security groups, training completion tracking, and light new-hire and onboarding activities. The role will also support shipping swag and employee giveaways and contribute to employee morale initiatives such as food trucks, cupcakes, and other team activities. Job Responsibilities: Manage complex executive and shared calendars, including rhythm-of-business, gate review, and operations calendars across multiple leaders simultaneously Coordinate and send meeting invites, manage group and shared calendars, and maintain distribution lists and security groups (aliases) Track and monitor training completion, project timelines, and operational milestones using Excel and other tracking tools Support light new-hire and onboarding activities to ensure a smooth and welcoming employee experience Coordinate procurement of goods and services including office supplies, computer equipment, and vendor relationships Manage shipping and fulfillment of studio swag and employee giveaways Contribute to employee morale initiatives such as food trucks, team celebrations, cupcake deliveries, and other engagement activities Coordinate travel arrangements and process business expense reports for supported leaders Support department financial operations including budget tracking and finance management Serve as a primary point of contact for the department and provide general office and facilities support Complete special projects and ad hoc assignments as directed by leadership Requirements: 2–7 years of hands-on administrative or executive support experience, with relevant and demonstrable skills weighted more heavily than tenure alone 2–7 years of Outlook calendar proficiency, including managing complex and multi-stakeholder calendars 2–7 years of detailed project tracking experience using Excel or comparable tools Prior experience supporting multiple executives or leaders concurrently, including shared and group calendar management Advanced proficiency in Microsoft Outlook with demonstrated expertise in complex, multi-executive calendar management Strong project tracking and monitoring skills using Microsoft Excel and similar tools Ability to manage multiple calendars, timelines, and priorities simultaneously with a high degree of accuracy Executive presence and a high level of professionalism in all interactions Exceptional interpersonal skills with a demonstrated ability to collaborate effectively across all levels of an organization Strong written and verbal communication skills Experience managing distribution lists, security groups, and organizational aliases Familiarity with budget tracking and basic financial op…
