Role Description Goldrush Canada is looking for a motivated, organized, and detail-oriented Administrative Assistant to support daily business operations and ensure the smooth and efficient functioning of the office. This position will provide hands-on experience across various administrative functions, including document management, scheduling, data entry, communication, record keeping, and general office support. Our Administrative Assistant will work closely with management and other internal teams to coordinate administrative tasks, maintain accurate records, manage correspondence, and support day-to-day operational needs. The ideal candidate is professional, reliable, proactive, and able to manage multiple priorities in a fast-paced environment. Strong communication skills, attention to detail, discretion, and the ability to handle confidential information are essential. Responsibilities Provide general administrative support to management and internal teams to ensure efficient daily operations. Manage incoming and outgoing correspondence, emails, phone calls, and other communications. Prepare, organize, proofread, and maintain documents, reports, presentations, and other business materials. Maintain accurate records, databases, filing systems, and confidential documentation. Assist with scheduling meetings, coordinating appointments, preparing agendas, and organizing meeting materials. Perform data entry and ensure information is accurate, up to date, and properly organized. Support invoice processing, expense tracking, purchase orders, and other basic administrative or financial tasks as required. Assist with coordinating office activities, internal communications, and business-related events. Monitor office supplies and assist with inventory management and ordering as needed. Help develop and maintain administrative procedures, templates, and organizational systems. Handle sensitive information with professionalism, confidentiality, and discretion. Coordinate with internal departments and external contacts to support business operations. Assist with preparing reports, tracking deadlines, and following up on outstanding administrative tasks. Identify opportunities to improve administrative processes and overall office efficiency. Provide additional administrative and operational support as required. Experience and Qualifications Previous experience in an administrative, office support, reception, or customer service role is an asset. A high school diploma or equivalent is required; a diploma, certificate, or degree in Business Administration, Office Administration, or a related field is an asset. Strong written and verbal communication skills. Excellent organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines. Exceptional attention to detail and accuracy when handling documents, records, and data. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, or Google Workspace. Ability to handle confidential information responsibly and exercise sound professional judgment. Strong problem-solving skills and the ability to work independently with minimal supervision.
