We are seeking an enthusiastic, highly organized, and proactive individual for an Administrative & Operations Internship. This role is a robust developmental opportunity designed for someone eager to learn the foundational operations of a dynamic business and grow into a permanent, larger role. The intern will play a critical support role across administrative tasks, sales enablement, event planning, social media management, and property coordination.

Key Responsibilities

1. Executive & Administrative Support (40%)
  • Calendar and Logistics Management: Manage and coordinate the professional calendars for key team members.

  • Company Events: Plan, organize, and execute company events, meetings, and off-site gatherings (e.g., team lunches, holiday parties, client appreciation events) from initial concept to execution and budget tracking.

  • General Administration: Manage office supply inventory and company swag, handle incoming/outgoing mail, maintain organized physical and digital filing systems, and assist with expense reporting.

2. Sales & Documentation Support (30%)
  • Sales Enablement: Serve as a key support resource for the Sales Team, assisting with administrative tasks to ensure efficiency.

  • Client Documentation: Prepare, format, and organize client and candidate-facing documents, proposals, presentations, and internal sales reports, ensuring all materials are accurate and branded correctly.

  • CRM Data Entry: Assist with data entry and maintenance within the Customer Relationship Management (CRM) system, ensuring lead and client information is current.

3. Communications & Social Media (20%)
  • Content Calendar: Assist in developing and maintaining a social media content calendar.

  • Posting & Engagement: Draft, schedule, and post engaging content across company social media channels.

  • Monitoring: Monitor social media activity, tracking engagement metrics and forwarding relevant inquiries to the appropriate department.

4. Property Management Coordination (10%)
  • Vendor Coordination: Act as the internal point of contact for external property vendors (e.g., maintenance, cleaning, repair services).

  • Service Tracking: Coordinate and track service requests and routine maintenance schedules for the office property, ensuring a smooth and functional workspace.

Preferred Qualifications

  • Currently pursuing or recently completed a degree/certification in Business Administration, Communications, Marketing, or a related field.

  • Excellent proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.

  • Exceptional written and verbal communication skills.

  • High level of maturity, professionalism, and discretion, especially when handling confidential information.

  • A "no task is too small" attitude and a strong desire to learn and take initiative.
