Department PURCHASING (UA-PUR-IUBLA) Department Information The university's accounts payable efforts involve research and resolution of issues with Indiana University (IU) supplier payments within the university procurement system to ensure accurate and timely payments and compliance with university and procurement policies. Job Summary Accounts Payable (AP) Research and Auditing Representative researches and resolves issues with Indiana University supplier payments within the University procurement system to ensure accurate and timely payments and compliance with University and Procurement policies. This role focuses exclusively on accounts payable activities; it does not include sourcing or other procurement related activities. Responsibilities range from invoice processing and auditing to research and resolution of payment issues. Department-Specific Responsibilities Processes supplier invoices against purchase order detail. Audits invoices for accuracy and compliance. Provides support, training, and guidance to departments and suppliers using different communication mediums. Researches and resolves complex supplier payment issues. General Responsibilities Under limited supervision, performs routine and ad hoc administrative tasks in support of the procurement function, administering the transactions associated with obtaining goods and services for the university. Serves as an informational resource for department or other departments in identifying appropriate vendors and suppliers. Responds to employee inquiries and requests and explains policies and procedures. Monitors procurement processes and communicates issues with supervisor to inform decisions. Oversees inventory of necessary items and coordinates reorder, inventory receipt, and/or returns as needed. Prepares reports to monitor outstanding procurement documents and payments. May provide assistance to lower-level Procurement Representatives. May take on more advanced, non-routine tasks that may require analysis. Qualifications Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education. EDUCATION Required High school diploma or equivalent (such as HSED or GED). WORK EXPERIENCE Required 4 years in relevant field. SKILLS Required Proficient written and verbal communication skills. Ability to build strong customer relationships. Instills commitment to organizational goals. Ability to influence internal and/or external constituents. Possesses flexibility to work in a fast paced, dynamic environment. Promotes information sharing. Preferred Excellent customer service skills. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation. Work Location Bloomington, Indiana This position is eligible for a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.
