Accounts Payable & Inventory Specialist (Construction & Manufacturing)

Position Overview We are seeking a detail-oriented Accounts Payable & Inventory Specialist with strong Odoo ERP experience to support our road services, manufacturing, and construction operations. In this role, you will manage full-cycle AP and inventory tracking, ensuring every expense, raw material, and equipment part is accurately captured and allocated to the correct project or manufacturing order. You will be the critical link between our job sites, production floor, and finance team. Key Responsibilities Project Accounts Payable & Job Costing (Odoo Accounting & Purchase) 3-Way Matching: Match vendor invoices against Purchase Orders (POs) and Warehouse Receipts in Odoo to verify material deliveries for construction sites and manufacturing runs. Project Allocation & Analytic Accounting: Ensure all vendor bills and subcontractor invoices are coded to the correct Odoo Analytic Accounts (Job/Project Codes) to maintain accurate real-time job costing. Subcontractor & Compliance Tracking: Process subcontractor progress billings and verify compliance documents (w9s, insurance certificates, lien waivers) before releasing payments in Odoo. Equipment & Fleet Expenses: Track and log maintenance bills, fuel cards, and parts costs against specific company vehicles and heavy machinery in the Odoo Fleet/Maintenance modules. Manufacturing & Construction Inventory (Odoo Inventory & Manufacturing) Raw Material & Component Tracking: Monitor inventory levels for manufacturing raw materials and road service supplies (e.g., asphalt, aggregates, safety gear, hardware). Bill of Materials (BOM) Support: Collaborate with the manufacturing team to ensure inventory is properly decremented via Odoo Manufacturing Orders (MOs) and track scrap or material variances. Landed Cost Calculation: Apply freight, customs, and heavy transport fees to Odoo vendor bills to calculate the true cost of heavy materials and imported components. Job Site Kits & Transfers: Process internal stock transfers in Odoo for materials moving from the central warehouse to specific construction or road service job sites. Qualifications & Skills Experience: 2–4 years of AP and inventory experience specifically within the construction, manufacturing, or heavy field services industries. Software Expertise: Minimum 1 year of hands-on experience with Odoo ERP , specifically utilizing Accounting, Purchase, Inventory, and Manufacturing (MRP) or Project/Analytic accounting modules. Industry Knowledge: Familiarity with progress billings, subcontractor retainage, and tracking raw materials versus finished goods. Technical Skills: Strong proficiency in Excel; ability to read vendor packing slips, bills of lading, and project purchase orders. Communication: Excellent communication skills to coordinate between warehouse staff, project managers, and external vendors. Pay: $75,000.00-$95,000.00 per year Work Location: In person
