Accounting & Tax Specialist

Aces Fuel Injection, Inc. is seeking a dependable, detail-oriented Accounting & Tax Specialist to support our growing manufacturing and distribution operations. This role is responsible for day-to-day accounting activities, multi-state sales tax compliance, payroll coordination, inventory accounting support, and financial reporting assistance. The ideal candidate will have solid accounting experience and a strong understanding of how financial information flows through a business, with the ability to take ownership of the accuracy and integrity of the organization’s financial records. This position is well suited for someone who is organized, analytical, dependable, and comfortable working independently in a fast-paced environment. The successful candidate should enjoy taking ownership of responsibilities, identifying opportunities for process improvement, and contributing to stronger financial processes as the company grows. This is a hands-on accounting role, and the individual should be willing to perform both higher-level accounting responsibilities and routine day-to-day tasks as needed. Key Responsibilities Process and review accounts payable transactions, vendor invoices, and employee expense reimbursements to ensure accuracy and compliance. Assist with accounts receivable tracking and collections, including reconciling customer payments and resolving discrepancies. Enter bills and invoices into QuickBooks Online (QBO) and coordinate payment schedules based on vendor terms and cash flow planning. Perform bank and credit card reconciliations and assist with loan documentation and banking communications. Support preparation of monthly financial statements, including profit and loss summaries, balance sheet reconciliations, and variance reviews. Maintain and reconcile inventory accounting records, assist with cost tracking, and support physical inventory counts. Manage fixed asset records and depreciation tracking to ensure accurate reporting. Coordinate multi-state sales tax registrations, filings, and compliance deadlines. Assist with payroll review and processing, including multi-state payroll tax considerations. Communicate with federal and state agencies regarding tax, licensing, and compliance matters. Maintain organized financial documentation and assist with audit preparation and regulatory reporting. Help develop and improve financial processes, internal controls, and accounting procedures. Qualifications Bachelor’s degree in Accounting, Finance, or related field. 5+ years of accounting or financial operations experience. Strong working knowledge of QuickBooks Online, Microsoft Excel, Shopify, Venmo, and Paypal including reporting. Familiarity with U.S. GAAP principles and multi-state tax compliance requirements. Excellent attention to detail, organization, and time management skills. Ability to work independently while collaborating across departments. Strong communication and problem-solving skills. Preferred Qualifications Experience in manufacturing, distribution, import/export, or automotive-related industries. Exposure to inventory costing, payroll coordination, or timekeeping systems. Experience with Shopify or inventory management platforms. Prior involvement in audit preparation or financial reporting improvements.
