Position Summary: The Accounting/Imports Coordinator is an entry-level position responsible for supporting general accounting and import-related activities. This role requires exceptional attention to detail, as import, customer, vendor, and accounting documents must be carefully reviewed to ensure accuracy, completeness, and compliance with established procedures. The ideal candidate is organized, adaptable, comfortable working with numbers and detailed documentation, and able to learn new processes quickly. Training will be provided on company-specific accounting and import procedures. Primary Responsibilities: Accounting Support · Enter accounts payable invoices for imported products and related services into the accounting system · Enter customer sales orders and accounts receivable invoices for imported and direct-ship products · Enter foreign supplier purchase orders and route them for proper approval · Record freight, customs, duties, and other landed costs associated with each shipment · Review purchase orders, invoices, shipping documents, and supporting records for accuracy and consistency · Identify missing information or discrepancies and follow up to obtain corrections · Assist with account reconciliations and the tracking of landed-cost accruals · Maintain organized and complete electronic and paper records · Provide additional general accounting and administrative support as assigned Import and Documentation Support: · Review import documentation to confirm that information is complete, accurate, and consistent across all records · Assist with ensuring Importer Security Filing, or ISF 10+2, information is submitted on time for applicable shipments · Monitor shipments and required documentation throughout the import process · Coordinate documentation and shipment updates with vendors, customers, customs brokers, freight forwarders, and carriers · Track direct shipments from suppliers to customers and communicate status updates · Prepare or assist with weekly shipment, inventory, customer, and vendor status reports · Follow up promptly on missing, incomplete, or incorrect documentation · Maintain accurate shipment and compliance records · Assist with maintaining and updating the company’s import compliance procedures and manual · Escalate documentation, shipment, or compliance concerns to the Imports Manager Minimum Qualifications: · Associate or bachelor’s degree in accounting, business, finance, operations, or a related field preferred; relevant education or experience will also be considered · Entry-level accounting, administrative, data-entry, or document-review experience preferred · Strong attention to detail and commitment to accuracy · Ability to review multiple documents and identify inconsistencies or missing information · Comfortable working with numbers, invoices, and detailed records · Strong organizational and follow-up skills · Ability to manage multiple priorities and meet deadlines · Quick learner who can adapt to changing business needs and procedures · Sound judgment and willingness to ask questions when information is unclear · Strong written and verbal communication skills · Proficiency with Microsoft Office, particularly Excel and Outlook · Experience with SAP Business One or another accounting system is helpful but not required Pay: $20.00 - $24.00 per hour Benefits: 401(k) Dental insurance Health insurance Paid sick time Paid time off People with a criminal record are encouraged to apply Work Location: In person
