We are seeking a detail-oriented and experienced Accounting & Billing Specialist to support our accounting operations, with a primary focus on freight billing and a secondary focus on accounts receivable, collections, and general bookkeeping. Position Summary The Accounting & Billing Specialist will be responsible for supporting daily freight brokerage accounting activities, ensuring accurate invoice processing, maintaining organized financial documentation, and assisting with timely customer collections. The ideal candidate has experience working with McLeod Software (LoadMaster or PowerBroker) and understands the billing processes associated with freight brokerage, transportation management, and carrier operations. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple accounts and deadlines while maintaining accuracy and professionalism. Key ResponsibilitiesFreight Billing & Invoice Processing – Primary Focus Process and review carrier invoices using McLeod TMS or comparable transportation management software. Prepare, verify, and issue customer invoices accurately and promptly. Upload, review, and maintain Bills of Lading (BOLs), Proofs of Delivery (PODs), and supporting freight documentation. Identify and resolve billing discrepancies, missing paperwork, incorrect rates, and invoice-related issues. Coordinate with operations, account managers, carriers, and customers to ensure accurate billing. Monitor unbilled shipments and assist in reducing billing delays. Provide professional and timely payment status updates to carriers and customers. Accounts Receivable & Collections Monitor outstanding customer invoices and accounts receivable balances. Contact customers regarding overdue invoices and payment arrangements. Respond to incoming billing, collections, and payment inquiries. Maintain accurate collection notes, payment updates, and account records. Investigate and resolve payment discrepancies and customer disputes. Assist with payment application, account reconciliation, and collections reporting. Prepare weekly accounts receivable aging and collections activity reports. Support initiatives to reduce past-due balances and improve cash flow. Accounting, Documentation & Administrative Support Process and maintain Notice of Assignment (NOA), Letter of Release (LOR), BOL, and POD documentation. Assist with factoring-related documentation and payment verification. Maintain accurate and organized electronic financial records. Support general bookkeeping, accounts payable, and accounting reconciliation activities as assigned. Coordinate with accounting and operations teams to resolve outstanding issues. Manage incoming telephone inquiries and direct communications appropriately. Provide additional accounting and administrative support during high-volume periods. Required Qualifications Experience in freight billing, transportation accounting, accounts receivable, or related financial operations. Strong understanding of invoicing, billing accuracy, payment tracking, and financial documentation. Proficiency in Microsoft Excel, Outlook, and general accounting software. Excellent written and verbal communication skills. Strong organizational skills and exceptional attention to detail. Ability to manage multiple priorities and deadlines in a fast-paced environment. Ability to work independently while collaborating effectively with accounting and operations teams.
