Reporting to the Manager, Plant, Property and Maintenance, the Administrative Assistant- Mail clerk performs switchboard, clerical, financial and other general clerical duties (including mail room and inventory management) in support of the Department of Finance, Plant Property and Maintenance. Greets prospective, former and current students, clients, visitors, suppliers, faculty and staff, and the community we serve accessing the University. Responsible for directing individuals to appropriate departments/areas as needed. Provides clerical support for the Finance and PPM departments by processing verifying and processing purchase orders, maintains filing systems (inventory control of keys/fobs and supplies), and booking of FNUniv facilities, and complying with FNUniv policies and procedures. Duties and Qualifications: The successful candidate will have a High School Grade 12 Diploma; Minimum Office Education certification or equivalent education and a half year minimum, of related office experience required. A combination of education and experience will be considered. The successful individual will be responsible for all administrative duties such as (but not limited to): Receive, process, sort and distribute incoming, interoffice and outgoing mail, and courier packages in a timely fashion, adhering to necessary University deadlines. Weigh, calculate and affix proper postage to applicable mail and maintain usage records. Process bills of lading, commercial invoices, customs documents and other relevant paperwork. Assist with office supply distribution, purchase orders and parking passes. Answer and respond to inquiries by telephone, e-mail and in person; fax, photocopy. Type, edit, and proof-read all department related correspondence and forward to appropriate destinations. Create and maintain department filing systems to ensure documents are in order and easily retrievable. Create and maintain records for projects, activities, and staff under the supervision of the Supervisor. Assist with the maintenance of an inventory of furniture, equipment and supplies ensuring information is up-to-date and accurate. Schedule meetings, prepare information, record and process minutes, as required. Arrange travel and accommodations for the Supervisor, as required.
