Summary
The Administrative Assistant Warehouse supports the daily operations of the Warehouse Manager by providing administrative, clerical, and organizational support. This role is responsible for maintaining accurate records, coordinating documentation related to inventory, deliveries, and transfers. Serves as the key point of contact between the warehouse, stores, and home office.
Responsibilities and Duties
- Customer service to include customer confirmation calls, COD balances, customer request to reschedule, service call appointments, and facilitate customer pick-ups.
- Communicate with local Store Managers including sending delivery manifests prior to delivery and completed manifests with any notes or concerns after delivery.
- Responsible for balancing and reconciling delivery paperwork and reports which includes closing out tickets, audits, and updates to the invoicing, as assigned.
- Support the delivery of goods by routing deliveries and or providing dispatch support for delivery teams, to include driving directions, in-home issues and communication to customer day of delivery, if needed and assistance to manager, if applicable.
- Run, analyze, and work multiple aspects of reporting, orders, invoicing, transfer initiation and verification, and inventory coding within software.
- Enter exchange orders and parts orders for customers and warehouse inventory as needed.
- Schedule outside technicians to support customer service calls.
- Request COI’s as needed.
- Apply for credit on damaged items as needed.
- Print pick lists and delivery tickets to include pick lists for store transfers.
- Submit vendor chargebacks for repairs, damage and service.
- Support the daily functions for the warehouse to include answering calls, clearing voicemail boxes, scanning & downloading data.
- Assist with physical inventory counts as needed.
- Assist with keeping the warehouse common areas clean and organized.
- Permanent or temporary duties as assigned by the supervisor.
Qualifications
- 2+ years of customer service or relevant experience
- 2+ years with routing and/or retail warehouse environments preferred.
- Must be organized, flexible, and detail oriented.
- Knowledge of geographic area required for routing if applicable.
