Reporting to the Document Control Lead, the Document Control Technician is responsible for receiving, reviewing, filing, and distributing project construction documents in accordance with established standards. The incumbent keeps document databases up to date, controls version compliance and traceability, and supports internal teams and suppliers in accessing and using documentation. The role ensures process compliance and information security and contributes to the continuous improvement of document control methods and tools. Will work at the Montreal office on a 5-2 schedule.
Tasks and responsibilities
- Receive, review, classify, and distribute technical and administrative documents in accordance with established procedures.
- Ensure documents meet presentation, naming, and quality standards before distribution.
- Update databases and document registers in the electronic document management system (EDMS).
- Maintain current indexes, document lists, and document inventories.
- Apply document control processes to all phases of the document life cycle.
- Verify the integrity and compliance of documents received from internal teams and suppliers.
- Track timelines related to document production and approval, and report delays or anomalies.
- Ensure traceability of versions, revisions, and approvals.
- Respond to requests from internal users (engineering, procurement, construction, etc.) regarding document access or processing.
- Provide assistance and guidance on the use of document tools and processes.
- Transmit and coordinate documentation with suppliers, partners, and external consultants.
- Manage access control lists for classified documents and ensure permissions are up to date.
- Handle confidential documents with rigour and discretion.
- Comply with data protection policies and secure information management practices.
- Ensure proactive communication with stakeholders to obtain missing information or update documents.
- Participate in project meetings when necessary to ensure document follow-up.
- Inform the Document Control Lead of any issue that could affect the quality or timeliness of documentation.
- Compile statistics on document activities (volumes, timelines, compliance, etc.).
- Prepare periodic reports on the status of document deliverables.
- Contribute to the continuous improvement of document tools, templates, and processes.
- Rigorously apply established document standards, procedures, and methods.
- Propose improvements to optimize filing, document flows, or system usage.
- Ensure compliance with health, safety, and environmental policies in all activities.

- Excellent command of Microsoft Outlook and shared mailboxes;
- Excellent command of Microsoft Excel features and basic knowledge of other Office applications, particularly SharePoint;
- Experience with document management software is an asset (particularly Aconex);
- Experience in consulting engineering or on construction projects is an asset;
- Experience in the mining industry is an asset.
Qualifications

A college diploma (DEC) in document management or any other equivalent diploma will be recognized. Any other relevant experience in the field will be taken into consideration;
- Bilingualism is an asset (and may be required to communicate with English-speaking suppliers).
