YOUR ARC
We are looking for an organized, proactive, and people-oriented Studio Operations Coordinator to help create a workplace where our teams can do their best work.
This role sits at the intersection of administration, office operations, workplace experience, and recruitment support. You will be one of the key points of contact for employees, candidates, visitors, vendors, and partners.
You will help keep the day-to-day office running smoothly—from supplies, meeting rooms, mail, and facilities requests to supporting recruitment activities, coordinating interviews, assisting with candidate communication, and helping create a workplace that feels welcoming and connected.
This is an ideal role for someone who is highly organized, enjoys solving problems, has strong attention to detail, and genuinely enjoys helping people.
Responsibilities
Office & Workplace Operations
- Assist with expense reimbursement, invoice administration, and tracking down receipts.
- Support the day-to-day launch and operation of our new office, ensuring the workplace is organized, welcoming, clean, and functional.
- Coordinate and manage the external cleaning vendor to ensure the office is maintained to a high standard.
- Help maintain a clean and welcoming workplace by tidying up after team lunches, meetings, and in-office events.
- Act as a first point of contact for general office questions, requests, and workplace needs.
- Manage office supplies, kitchen supplies, equipment, furniture, and other workplace resources.
- Coordinate mail, courier, shipping, deliveries, and receiving.
- Support office access, keys, badges, visitors, and security processes.
- Be approachable and responsive when employees need help navigating office-related questions or services.
- Assist with planning and coordinating employee events, meetings, celebrations, and team activities.
Recruitment and Employee Experience Support
- Provide administrative and logistical support throughout the recruitment process.
- Coordinate interview schedules between candidates, hiring managers, and interview panels.
- Support reference checks, background check administration, or other pre-employment processes as directed.
- Support the administrative side of employee onboarding and offboarding.
- Help to prepare workspaces, equipment, supplies, access, and welcome materials for new employees.
- Support People Ops, Studio Ops, IT, and Leads to ensure new hires are ready for their first day.
- Help coordinate office access and equipment returns when employees leave.
Qualifications and Experience
- 2+ years of experience in administration, office coordination, hospitality, customer service, recruitment coordination, or a related field.
- A proactive approach—you notice what needs to be done and take action without being asked.
- Comfortable working independently while knowing when to ask for support.
- A friendly, thoughtful, and kind approach with the team.
- Ability to manage multiple priorities and stay organized.
- Proficiency with Microsoft Office Suite.
BENEFITS
- Health benefits are not provided while on contract.
- Vacation will be paid out each pay period at the equivalent percentage equalling 3 weeks/ year.
- The hiring range for this position is $4,000 - $5,000 per month, commensurate with prior experience.
