Job Summary
The Site Operations Intern will provide administrative and coordination support to the Site Operations team, helping ensure the smooth execution of client visits, audits, business meetings, site events, and other operational activities. This internship offers a valuable opportunity for undergraduate or graduate students to gain hands-on experience in a dynamic biopharmaceutical environment while developing organizational, communication, and project coordination skills. The intern will work closely with cross-functional teams to support day-to-day site operations and employee engagement initiatives.
III. Key Responsibilities
Administrative & Business Support
- Assist with scheduling, coordinating, and preparing materials for client meetings, audits, leadership meetings, and other site activities.
- Prepare meeting agendas, take meeting notes, track action items, and support follow-up communications.
- Help maintain the site activities calendar, ensuring events, meetings, training sessions, and site initiatives are accurately scheduled and communicated.
- Support administrative tasks including document preparation, filing, records management, and distribution of communications.
- Assist in preparing reports, presentations, and meeting materials for site leadership and operational updates.
Client Visit & Audit Coordination
- Provide logistical support for client visits, audits, inspections, and external stakeholder meetings.
- Assist with meeting room reservations, visitor coordination, catering arrangements, and onsite logistics.
- Support the preparation and organization of audit and visitor documentation, presentations, and related materials.
- Help coordinate schedules between internal teams and external visitors to ensure successful visit execution.
Site Events & Employee Engagement Support
- Assist with planning and coordinating site-wide events, employee engagement activities, learning sessions, and recognition programs.
- Support event logistics including room setup, catering coordination, attendee tracking, communications, and post-event follow-up.
- Assist with creating event announcements, newsletters, flyers, and other site communications.
- Provide administrative support for special projects and cross-functional initiatives led by the Site Operations team.
Documentation & Process Support
- Maintain trackers, databases, and records related to site activities, meetings, visitors, and events.
- Assist with organizing documentation and ensuring information is current and accessible.
- Support continuous improvement efforts by helping standardize administrative processes and templates.
- Utilize Microsoft Office applications to support day-to-day operational and administrative activities.
IV. Qualifications
- Current undergraduate or graduate student pursuing a degree in Business Administration, Communications, Life Sciences, Biotechnology, or a related field.
- Strong interest in business operations, administration, event coordination, or the biopharmaceutical industry.
- Excellent organizational and time management skills with strong attention to detail.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, and Teams).
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Bilingual in English and Chinese (written and spoken) preferred but not required.

Salary range-20-30.00 per hour
