We are looking for a highly proactive and detail-oriented Site Operations & Front Office Coordinator to serve as the first point of contact for our facility and the primary engine for daily site logistics. As the first point of contact for our manufacturing headquarters, you will maintain a professional front-office presence while managing facility amenities and supporting core business operations, including procurement, security protocols, and employee engagement activities. The ideal candidate thrives in a fast-paced environment, seamlessly balancing administrative accuracy with hands-on facility management.
Job Description
Key Responsibilities

Front Office & Visitor Management: Greet visitors, manage visitor access, and maintain a high-standard, professional front-office appearance.

Daily Site Logistics & Facility Amenities: Manage office supplies, vendor relations, and building amenities, ensuring everything is stocked and operational.

Proactive Security Protocols: Act as a key stakeholder in safety, ensuring security badges, visitor logs, and access protocols are enforced and up-to-date.

Procurement & Inventory Support: Support purchasing, including receiving, sorting mail/deliveries, and coordinating with staff on material needs.

Employee Engagement & Communication: Act as the internal liaison for employee engagement activities and planning to foster a positive company culture.

Communication: Facilitate seamless site operations by serving as the central hub for staff inquiries regarding site policies, procedures, and logistical needs. Assist with preparation of communication releases.

Room Management: Coordinate conference room bookings, monitor schedules, and ensure rooms are stocked and "meeting-ready" for management and staff. Keeping staff accountable to conference room etiquette; ensure seamless experience for internal and external stakeholders.

Workplace Logistics: Manage cubicle assignments, visitor offices, and flex desks; maintain an organized, welcoming lobby and reception area.

Breakroom & Hospitality: Manage breakroom cleanliness and supplies; oversee company-wide meal services, including ordering, setup, monitoring service, and cleanup. Maintain the organization and presentation of the cafeteria.
Skills & Qualifications

Experience: 2–4 years of administrative or operations experience, ideally in a hybrid manufacturing / office setting.

Proactive Mindset: Ability to identify areas needing attention and take initiative without constant supervision.

Communication & Influence: Excellent verbal and written skills, capable of communicating effectively with both corporate executives and shop-floor personnel.

Multitasking & Organization: Ability to pivot quickly between tasks in a fast-paced environment while maintaining high accuracy.

Technical Proficiency: Strong knowledge of MS Office (especially Excel) and ability to learn ERP systems.

Safety Consciousness: Understanding of or willingness to learn industrial safety and security practices.

Complex Facility Experience: Comfortable navigating the noise, safety requirements, and distinct culture differences between a production floor (manufacturing) and corporate offices (HQ).

For candidates applying to a U.S. based position, the pay range for this position is between $72,000.00 and $108,000.00. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.
Bonus eligibility: discretionary annual bonus.
