We are currently seeking a Shipping and Logistics Specialist with strong international shipping experience to join our dynamic team in Ottawa.
What will you be doing?
As the Shipping & Logistics Specialist at MMIST, you will be responsible for managing all aspects of logistics and transportation and ensuring compliance with regulatory requirements within the aerospace sector. This role is critical to maintaining efficient supply chains, meeting delivery timelines, and upholding strict industry standards.
- Coordinate all shipments and monitor the entire process of cargo movement in accordance with MMIST’s requirements and ensure timely delivery.
- Act as main point of contact to interface with various government departments and agencies, including Customs and Global Affairs.
- Direct comprehensive logistics operations for product test campaigns, trade exhibitions, and customer demos, managing all phases from strategic planning to post-event closeout, including extended and off-hours support to meet critical deadlines.
- Maintain accurate records of shipments, import/export documentation, and compliance-related paperwork.
- Prepare, submit, and track export permits for controlled products including quarterly reporting requirements.
- Ensure all customs documentation is correct and compliant with all national and international customs regulations. Issue CCI, other customs documentation where necessary
- Ensure bookings are made with the correct carriers to meet the correct shipping and arrival dates
- Process requisition payments to carriers to ensure no detention or demurrage charges are incurred
- Report all inbound shipments to MMIST
- Report all shipments to MMIST’s insurance underwriter to ensure on-going insurance coverage for all shipments
- Obtain and analyze spot quotations for ad hoc shipments as from time to time
- Dispatch LTL, FCL, LCL, truckload, intermodal and air shipments
- Check data on packing slips for correct tariff codes etc
- Prepare and ensure the integrity of import/export documentation such as Bills of Lading, Commercial Invoices and Packing Lists.
- Work closely with Purchasing to ensure proper selection of logistics services for various types and sizes of incoming shipments.
- Follow up with suppliers to ensure orders will meet the required cargo ready dates.
- Perform verification of all freight invoices and approve, for payment.
- Maintain all pertinent corporate shipping records.
- Evaluate and process customer claims.
- Stay up to date with aerospace industry regulations, including ITAR and EAR, and ensure full compliance in all logistics and export operations.
- Identify potential logistical risks and develop contingency plans to mitigate disruptions to the supply chain.
What do we need from you?
- Previous experience in a similar international shipping and logistics role
- Experience in international logistics with a focus import/export processes in Canada
- Knowledge of export and import laws and regulations, ideally with knowledge of ITAR/CGRP.
- Sound working knowledge of customs regulations in Canada and the U.S.
- Some knowledge of Contract Security requirements is beneficial.
- Demonstrated experience with aerospace or defense industries desirable.
