Position Summary: 

Assist the Executive Director of Facilities in coordinating, managing, and monitoring custodial services and operations for facilities. This role involves establishing cleaning standards and procedures, managing staff schedules, overseeing inventory, and ensuring a high standard of safety, cleanliness, and efficiency of building services and operations through supervision and management tools.



Responsibilities
  • Custodial Management:
    • Establish, oversee, and adjust cleaning schedules and procedures for facilities, ensuring compliance with established policies and standards.
    • Conduct regular virtual inspections and evaluations (via reports, photos, and potential live video walkthroughs) of facilities to ensure quality standards are met and identify deficiencies for follow-up action.
    • Plan and manage major project work and summer operations, ensuring adequate staff and supplies are available.
  • Personnel Management:
    • Assist in the recruitment, screening, selection, training, and evaluation of custodial personnel, including supervisors.
    • Provide guidance and support to custodial supervisors, handling or referring employee grievances and disciplinary actions as appropriate.
    • Plan and execute staff meetings and training sessions, ensuring all employees are informed of safety information and operational changes.
  • Inventory and Budget Management:
    • Monitor and manage custodial supplies and equipment budgets, processing invoices and tracking expenditures.
    • Conduct periodic inventories of supplies and equipment, testing and recommending new products as appropriate.
    • Prepare proposals, bid documents, on-call contracts for services and procurements in accordance with policies.
  • Safety and Compliance:
    • Ensure compliance with local, state, and federal regulations such as OSHA standards related to safety, hazardous waste disposal, and the use of chemical substances.
    • Instruct personnel on the proper and safe use of equipment and chemicals and report any on-the-job injuries.
  • Administration and Communication:
    • Prepare clear, sound, and accurate reports and documentation for the Executive Director.
    • Serve as a liaison between the department, administration, and other departments to coordinate activities and resolve day-to-day issues.
    • Manage digital files, calendars, schedules, appointments, and email correspondence efficiently using remote collaboration tools.
  • Operational Coordination: 
    • Manage daily work schedules, track staff attendance (including leave and vacation requests), and enter payroll for ABM Custodial Staff.
  • Administrative Support: 
    • Maintain the Director’s calendar, prepare confidential reports, and draft official correspondence or newsletters and or disciplinary documents for staff as needed.
  • Inventory & Procurement: 
    • Monitor supply levels, research cost-effective cleaning technologies, and process requisitions for equipment and chemicals.
  • Quality Control & Compliance: 
    • Review progress reports from Computerized Maintenance Management Systems (CMMS) to ensure service requests are completed to standard.
  • Financial Oversight:
    • Assist in developing annual budgets, monitor expenditures, and analyze financial reports to achieve departmental goals.
  • Project Management: 
    • Oversee large-scale projects, such as summer shutdowns at buildings, turnovers for or mass facility renovations.


Qualifications
  • Education: High school diploma or equivalent; an Associate or Bachelor’s degree in a related field is preferred. 
  • Experience: 3–5 years of experience in custodial management or facility operations; prior experience in a remote or virtual support role is a major asset.
  • Technical Proficiency: Mastery of Microsoft Office (Excel, Outlook) and Google Suite; experience with project management tools (Trello, Asana) and CMMS software.
  • Soft Skills: Strong problem-solving, diplomatic communication for conflict resolution, and the ability to manage diverse teams across multiple sites
