WPP’s rental division runs on execution. This role is the backbone of rental operations, ensuring every quote, contract, invoice, and customer interaction is handled accurately and on time. 


The Rental Operations Coordinator plays a key role in supporting the rental team with a strong focus on invoicing, collections, and financial reporting, while contributing to daily operations and ongoing business initiatives. You’ll work closely with rental leadership, sales, and service teams to keep deals moving, cash flowing, and customers taken care of. 


This position requires strong customer service skills, the ability to stay composed under pressure, and a high level of organization in a fast-paced environment. Success in this role comes from being adaptable, detail-oriented, and able to quickly shift priorities based on business needs. 


 ESSENTIAL DUTIES  

 

Customer and Sales Support 

  • Support Account Managers with rental inquiries and project quotes 
  • Gather project information including equipment requirements, delivery timelines, and transportation needs 
  • Communicate with customers to clarify job details and ensure accurate quotes 
  • Help ensure customers receive timely responses and exceptional service 

Rental Project Coordination 

  • Assist with coordination of rental equipment deployments including generators, distribution equipment, and accessories 
  • Coordinate with shop personnel and technicians to confirm equipment readiness 
  • Support transportation scheduling and vendor coordination 
  • Track active rental projects and help ensure smooth execution from delivery through off-rent 

Rental System and Data Management 

  • Maintain accurate records within the rental software system including customers, contacts, contracts, and equipment details 
  • Ensure rental documentation is accurate and complete for all projects 
  • Support data accuracy between Rental Software, QuickBooks, and internal systems 

Billing and Financial Coordination 

  • Prepare and manage 28-day billing cycles for rental contracts 
  • Assist with compiling billable items including transportation, fuel, preventive maintenance, and service work 
  • Review invoices for accuracy prior to submission 
  • Assist with accounts receivable and collections to help reduce DSO as needed 

Vendor and Logistics Coordination 

  • Coordinate transportation vendors for equipment delivery and pickup 
  • Create and manage purchase orders and BOL for transportation and project-related expenses 
  • Reconcile vendor invoices with project contracts and billing documentation 

Operational Support 

  • Monitor incoming rental requests via phone and email 
  • Help maintain organized communication channels to ensure rental requests are handled promptly 
  • Provide operational support to the rental sales and leadership team 

Storm and Emergency Response Support 

  • Assist the rental team during major weather events and emergency deployments 
  • Support high call volumes and help coordinate rapid generator deployments when customers lose power 

  ADDITIONAL RESPONSIBILITIES 

  1. Attend training sessions as required. 
  2. Perform all other duties as assigned. 
Requirements

EDUCATION 

  • High school diploma, GED, trade school or equivalent.  

CERTIFICATIONS & LICENSES 

  • No certifications or licenses needed for this position.  

EXPERIENCE 

  • 1–3 years in equipment rental, power generation, industrial services, or similar operational environment  
  • Experience with invoicing, collections, or financial coordination strongly preferred  
  • Customer service experience required  
  • QuickBooks or similar accounting system experience preferred
