Program Services Operations Coordinator

Schedule: 6:30am-2:30pm/9:30am-5:30pm, flexibility required

Join The Kennedy Collective, a mission-driven nonprofit serving people with disabilities across Connecticut for more than 75 years. As Program Services Operations Coordinator, you’ll play a critical role in keeping our largest department running efficiently—supporting leadership, coordinating transportation operations, and helping maintain compliance across programs serving hundreds of staff and individuals.
This is not a traditional administrative role. You’ll be a central operations hub, connecting Program Services with HR, Finance, Facilities, IT, and external regulatory agencies while helping modernize systems and processes across the department.

What You’ll Do
- Provide operational and administrative support to the Chief Program Officer and Vice President of Program Services
- Coordinate leadership meetings, scheduling, and meeting minutes
- Maintain digital records, trackers, and documentation using Microsoft 365 and SharePoint
- Support department-wide training compliance and documentation audits
- Manage daily transportation dispatch operations, including schedule changes and communication with drivers, staff, and families
- Help transition transportation operations from manual processes to a modern digital dispatch system
- Draft and prepare communications to Connecticut Department of Developmental Services (DDS) and other regulatory bodies
- Track licensing deadlines, compliance timelines, and regulatory submissions
- Serve as a liaison between Program Services and Finance, HR, Facilities, IT, and Executive Administration
What We’re Looking For
- Associate degree preferred (high school diploma required)
- 2+ years experience in administrative, operations coordination, or executive support
- Strong proficiency in Microsoft 365 (Outlook, Excel, Teams, SharePoint)
- Strong Excel skills including building trackers, reports, and dashboards
- Experience in human services, healthcare, or other regulated environments preferred
- Transportation scheduling or dispatch experience a plus
- Excellent organization, communication, and problem-solving skills
- Ability to manage multiple priorities while maintaining accuracy and professionalism
Work Requirements
- On-site presence required
- Occasional early or late coverage based on transportation operations
- Ability to lift up to 25 lbs occasionally
- Frequent computer use and movement throughout office/program areas
