The Parts Warehouse Admin plays a critical role in supporting daily warehouse operations by managing parts flow, returns, and warranty processes. This position operates directly within the warehouse environment, working closely with inventory, shipping/receiving, and operations teams to ensure accuracy, accountability, and efficiency in parts handling and documentation.
This is a hands-on, warehouse-based role requiring strong coordination between inventory and system tracking.
Key Responsibilities
- Manage and process parts returns, shortages, and claims in coordination with warehouse and vendor partners
- Track and follow up on warranty parts, ensuring proper documentation, shipment, and credit reconciliation
- Monitor surplus inventory and warranty schedules, ensuring timely processing and accurate credit collection
- Investigate and resolve inventory discrepancies, including damaged, missing, or incorrect parts
- Coordinate with receiving and shipping teams to verify returned and replacement parts
- Maintain accurate records of all transactions within warehouse systems (WMS/ERP)
- Ensure returned parts are properly labeled, stored, or staged for shipment
- Work directly on the warehouse floor to support inventory control and operational flow
- Communicate with vendors and internal teams to resolve claims and ensure timely reimbursement
- Support cycle counts and inventory audits related to returns and warranty items
Qualifications
- Previous experience in a warehouse, logistics, or inventory control environment preferred
- Intermediate computer experience
- Strong attention to detail and ability to manage multiple tracking processes
- Experience with returns, claims, or warranty processing is highly desirable
- Comfortable working in a warehouse setting (not office-based)
- Familiarity with inventory systems (WMS)
- Strong organizational and follow-up skills
- Ability to communicate effectively with internal teams and external vendors
Work Environment
- This role is based primarily in a warehouse environment, not a traditional office setting
- Requires frequent movement throughout the warehouse, including interaction with inventory, staging areas, and shipping/receiving zones
- May involve lifting, standing, and working around warehouse equipment
