Job Summary

The Operations Supervisor oversees and develops a high‑performing operational team responsible for timesheet management, purchase orders, invoicing, and related accounts‑payable workflows. This role ensures accurate, efficient, and compliant processing across these functions while maintaining strong daily operational controls. The Supervisor manages escalations, monitors performance metrics, drives process improvements and automation, and partners with cross‑functional teams to strengthen operational efficiency.

 

Key Responsibilities

Leadership & People Management

  • Supervise and develop high-performing teams with a clear expectation of excellence

  • Interview, hire, onboard, train, guide, supervise Processing Operations staff.

  • Complete regularly scheduled one-on-ones and check-ins with direct reports to include coaching, development, goal setting, accolades, mentorships, warnings and PIPs when applicable.

  • Create work schedules and make miscellaneous decisions related to direct reports.

  • Project a professional demeanor; maintain a positive attitude and team player orientation.

  • Support organizational change initiatives by preparing teams, communicating expectations, and ensuring smooth adoption of new processes or technologies.

 

Operational Excellence & Controls

  • Ensure established operational controls are followed daily across timesheet, purchase order, invoicing, and AP‑related processes.

  • Oversee accurate review, verification, and processing of timesheets, vendor invoices, and purchase orders.

  • Support functional areas with additional duties as assigned.

 

Metrics, Analysis & Reporting

  • Manage operational measurements, tracking and trending results of team members and direct reports.

  • Partner with department manager on tracking, trending and critical analysis of operational metrics to identify the root cause and provide lean and quality-driven process.

  • Develop/maintain spreadsheets with analytical and performance data around operational metrics are maintained

Process Improvement & Automation

  • Identify and recommend opportunities for process improvement, automation, and standardization across timesheet, purchasing, and invoicing workflows

  • Assist with the setup and maintenance of automation schedules or system enhancements in operational systems

Cross-Functional Collaboration & Stakeholder Management

  • Work with cross-functional teams in implementing process and system changes

  • Interface with internal / external partners at all levels

  • Develop connections amongst PPL operational departments, including various role and leadership positions

 

Documentation, Compliance & Training

  • Prepare / modify standardized Process and Procedures, resources, training, Performance Index, and compliance documents

 

Scheduling & Planning

  • Develop and maintain internal and external operational schedules.

Requirements

  • Supervisory skills to de-escalate challenges and emotions and cultivate a culture of positivity and self-management

Qualifications

Education:  Bachelor’s degree is required; Substantial professional experience in a related field may be considered in lieu of a formal degree.

Experience: Advanced work experience within an Accounts Payable role; 3+ years’ supervisory experience required; Knowledge of Microsoft Office toolset (specifically Word, Excel, PowerPoint) required; Knowledge of Microsoft Project and/or Visio is a plus; Quick data processing skills are required.

Working Conditions:

Remote

Supervisory Responsibility: Leads a team of 6–10 direct reports across multiple time zones.

Compensation Range: $55,000 - $60,000 annually
