Description

Total Warehouse is seeking a highly organized and execution-focused Operations Project Manager to support and drive operational initiatives across our Service Leadership organization. This role partners closely with service leaders to ensure priorities are clearly defined, initiatives are tracked through completion, and operational standards are documented and sustained.


The Operations Project Manager serves as a central coordinator and execution partner, responsible for translating leadership direction into structured plans, managing cross-functional follow-ups, maintaining operational documentation, and providing reporting and visibility to leadership.


Requirements
  • Track, manage, and follow up on operational initiatives and action items originating from meetings, emails, and leadership discussions.
  • Maintain accurate project status updates, timelines, owners, and dependencies.
  • Proactively identify risks, delays, or gaps and escalate as needed.
  • Develop structured agendas for leadership and project meetings.
  • Prepare pre-read materials and ensure meetings are outcome-focused.
  • Capture decisions, action items, and next steps; distribute meeting summaries and ensure follow-through.
  • Coordinate calendars and schedules to support project execution and leadership priorities.
  • Schedule recurring meetings, resolve conflicts, and protect time for critical initiatives.
  • Develop, document, and update Standard Operating Procedures (SOPs) for service operations.
  • Ensure SOPs are current, accessible, and communicated effectively across teams.
  • Support process standardization and continuous improvement efforts.
  • Gather, compile, and present KPI and operational reports from NetSuite and other systems.
  • Support leadership with timely insights to monitor performance and initiative progress.
  • Serve as the action item and accountability manager for ensuring supported leaders are following through with initiatives/directives
  • Prepare service leaders for weekly 1:1s with the Managing Partner.
  • Support leaders in delivering consistent, structured departmental updates.
  • Act as a coordination point between leadership and operational teams to ensure clarity and alignment.

Required Skills and Experience:

  • Advanced proficiency in Microsoft Excel (formulas, pivot tables, data analysis).
  • Comfortable navigating NetSuite ERP for reporting and data extraction.
  • Familiarity with AI tools for productivity and automation.
  • Minimum 60 WPM typing speed with high accuracy.
  • Highly organized and detail-oriented with exceptional follow-through.
  • Able to provide timely updates, maintain documentation, and keep stakeholders aligned.
  • Proactive, resourceful, and adaptable in a fast-paced environment.
  • Strong sense of accountability and ownership of tasks.
  • Professional communicator with the ability to work across leadership levels.
  • PMP Preferred

  • Meetings run smoothly with clear agendas, notes, and actionable outcomes.
  • Operational initiatives and action items are consistently tracked and completed on time.
  • Service leaders are consistently prepared for executive updates and 1:1s.
  • SOPs are accurate, current, and actively used across departments.
  • KPI reports are accurate, timely, and insightful for decision-making.
  • Calendars are well-organized, minimizing conflicts and maximizing productivity.
Salary Description
Salary Range is $90,000 to $110,000
