The Department of Otolaryngology–Head & Neck Surgery at USF Health is seeking an Operations Manager to support the continued growth of one of the nation's top-ranked academic ENT programs. This position provides executive-level administrative support to the Department Chair and leadership team, builds and manages the department's marketing and digital communications presence, and drives strategic projects and administrative initiatives. The Operations Manager reports to the Department Administrator and plays a central role in shaping how the department operates, communicates, and presents itself to internal and external audiences.

Executive Support
Serve as the primary administrative partner to the Department Chair and leadership team. Manage the Chair's calendar across clinical, administrative, and academic commitments. Coordinate and prepare materials for departmental meetings including faculty meetings, governance committees, and leadership sessions. Document meeting minutes and track action items to ensure follow-through. Draft correspondence and communications on behalf of the Chair. Handle confidential information with discretion and professionalism.
Marketing, Communications & Social Media
Build and maintain the department's social media and digital communications presence. Develop and execute a social media strategy across relevant platforms. Create and coordinate marketing materials including faculty spotlights, clinical program highlights, research announcements, and recruitment-facing content. Partner with USF and TGH business development, media/communications, and website teams to ensure alignment with institutional branding standards. Manage the department's web presence including faculty profiles, program descriptions, and clinical service pages. Produce a quarterly departmental newsletter for internal and external distribution.
Strategic Projects & Administrative Operations
Support strategic planning efforts in coordination with the Chair and Department Administrator from planning through implementation. Act as a crucial link between leadership and day-to-day business execution. Coordinate departmental quality improvement initiatives in partnership with the TGH ENT service line. Build and maintain a centralized digital repository for departmental policies, clinical protocols, and governance documents. Support ad hoc administrative projects as departmental needs evolve. Develop and maintain tracking systems, timelines, and status dashboards. Assist leadership with complex planning, data reports, and implementing internal
Bachelor's degree -OR- equivalent combination of education and experience.
5+ years of related experience.
