Position Summary
Reporting to the Facilities and Maintenance Manager, the Operations Coordinator, Facilities plans, schedules and coordinates, minor facility projects (e.g., room repairs, painting), contractor management where necessary; develops and maintains documentation (drawings, memos, reports); performs audits and site condition assessments; and provides full service administrative and logistics support for moves and events. The position also assists with the coordination and tracking of Health Infrastructure Renewal Fund (HIRF) and Infrastructure Renewal Plan (IRP) projects, working closely with the Redevelopment team, Maintenance team and internal stakeholders to meet scope, schedule and quality expectations.
Primary Responsibilities
- Plan, schedule, and coordinate small-scale projects and routine repairs (e.g., room refreshes, painting, minor renovations).
- Prepare schematics, organizational memos, scopes, and other documentation needed for project execution; also maintain project files and logs, providing administrative tracking and upkeep
- Helps coordinate shutdowns with Redevelopment and Maintenance teams, interim decanting, construction logistics, and operational impacts with affected departments.
- Coordinate contractor scopes of work and day-to-day site activities; gather quotes, track work orders, and follow up on backlog items.
- Ensure safe and compliant execution, coordinate vendors and internal services.
- Support review of drawings, specifications, and change impacts.
- Communicate construction logistics and operational impacts across departments.
- Develop and maintain procedures, templates, and standards that improve coordination across Maintenance & Engineering.
Mandatory Qualifications
- Advanced 3-year diploma in Architectural Technology, Construction Engineering Technology or related program.
- 2 – 3 years in facilities coordination, building operations or maintenance.
- Experience coordinating vendors, trades, and maintenance work orders.
- Ability to read and interpret architectural, structural, mechanical and electrical drawings.
- Basic understanding of building codes and standards, including but not limited to, Ontario Building Code, AODA and CSA Z8000.
- Experience working within a hospital or healthcare setting an asset.
- Strong organizational, time management, and interpersonal skills.
- Ability to work independently and collaboratively across all levels of the organization.
- Criminal Record Check required.

- Serve as day-to-day liaison between hospital teams, consultants, and contractors to ensure scope, quality, and safety expectations are met.
- Support upkeep of facility condition information and related databases.
- Effective change management skills and ability to communicate with various stakeholders
