Description

Join Dining and Lifestyle and help keep a fast-moving organization running smoothly. You will support leaders and teams through strong coordination, clear communication, and reliable operational execution.

 

As an Operations Coordinator in Dining & Lifestyle, you provide administrative, logistical, and operational support to the Head of Dining and Lifestyle and partner teams. You coordinate scheduling, communications, office needs, and vendor-related activities while handling sensitive information with discretion. You maintain organized systems and help teams stay on track by managing details, timelines, and follow-ups.

Job responsibilities

  • Coordinate calendars by scheduling meetings, confirming attendees, maintaining invites, and flagging conflicts for escalation.
  • Support day-to-day office operations, including supplies and equipment needed to complete work effectively.
  • Respond to ad hoc requests from Dining and Lifestyle team members and provide general administrative support.
  • Track priorities, deadlines, and deliverables; maintain organized shared folders, distribution lists, and documentation.
  • Support vendor onboarding and delivery management, including tracking timelines, capturing action items, and surfacing risks.
  • Coordinate with technology partners to support an information technology support vendor platform and drive process improvements.
  • Submit expenses and support subscription management through firm systems.

 

Required qualifications, capabilities, and skills

  • 1+ year of experience in administrative support, operations coordination, or project coordination supporting leaders or cross-functional teams.
  • Strong written and verbal communication skills, including drafting professional messages and summarizing action items.
  • Demonstrated ability to handle confidential information with discretion and follow established processes.
  • Strong organization and attention to detail; ability to manage multiple priorities and deadlines.
  • Resourceful, proactive problem solver who can work independently and escalate issues when needed.
