Operations Coordinator

This role provides end to end operational support across CSR, Parts, Rentals, and Truck Coordination for the Las Vegas operation under Parts Lead. The position ensures operational continuity, faster service turnaround, accurate documentation, and strong customer experience in a high volume and multi department environment.

Job Responsibilities:

• Manage quote creation, customer follow up, and SLA compliance for same day/next day turnaround.
• Maintain clean work orders, accurate labor/parts entries, and customer communication logs.
• Support daily, weekly, and monthly CSR KPI reporting.
• Source, verify, and coordinate parts for both shop and road technicians.
• Monitor pause – waiting for parts queues; escalate delays proactively.
• Manage stock to stock transfers, vendor pickups, and TO tracking.
• Support van inventory accuracy and recurring cycle counts.
• Work jointly with dispatch and to ensure technicians are fully parts ready before dispatch.
• Review upcoming PMs, open WOs, and required parts for next day readiness.
• Identify workflow blockers early and communicate required escalations.
• Support rental scheduling, delivery, and pickup in alignment with  fleet strategy.
• Coordinate with dispatch and rentals team for equipment availability, delivery timing, and customer readiness.
• Ensure all rental units have accurate asset documentation (hours, condition reports, attachments).
• Update rental tracking boards and communicate changes to CSR and dispatch.
• Coordinate movement of trucks between yard, shop, and customer sites.
• Validate readiness of units going out (fuel, battery charge, attachments, cleanliness).
• Support in managing truck availability, staging, and logistics timing for high volume days.
• Ensure accurate documentation of truck movements in NetSuite or internal trackers.
• Update asset cards with batteries, chargers, serial numbers, attachments, and condition updates.
• Support weekly audits of rental and service assets assigned to Las Vegas.
• Consolidate reporting for CSR, Parts, and Rentals for operational reviews.
• Support workflow mapping, SOP documentation, and continuous improvement initiatives.
• Maintain communication loops across CSR, Parts, Dispatch, Technicians, Rentals Team, and Regional OPS.

Required Experience:

• NetSuite expertise rental flows, asset management).
• Strong understanding of rental operations and truck movement logistics.
• Ability to analyze and act on KPIs (quotes, parts SLAs, rental utilization).
• High sense of urgency (unit down mindset).
• Detail oriented and operationally disciplined.
• Strong communication and cross department coordination.
• Problem solver who escalates early and provides solutions.
