Operations Coordinator
VOICE Charter School (http://www.voicecharterschool.org/) is an elementary and middle school located in Long Island City, Queens that serves about 650 students across grades K-8. We are located just minutes from Manhattan (two stops outside of Manhattan on the F, N, and W train lines) and Long Island City’s growing waterfront district, thriving arts community, and rapid residential growth. We support and develop the effectiveness of our teachers. We believe that teachers need time to collaborate to build their practice, so we provide our team with over two hours of planning time a day as well as additional days for collaborative thought partnership and planning during the school year.
We promote participation in music and the arts. As music and art help develop problem solving and critical thinking skills and open children's imaginations, all VOICE students participate in and learn from daily activities in the arts including rigorous choral training. We design our arts-integrated curriculum to bring joy and wonder to the lives of our children, providing them with the skills necessary to forge their own path.

Position Responsibilities:
The Operations Coordinator is responsible for supporting instructional needs and planning for the K-8 school. The Operations Coordinator also supports the non-instructional operations and communications at the school, working directly with the school operations team to help maintain a friendly, safe, and professional school environment.
Major Responsibilities:
Student Programming
- In collaboration with pedagogical leaders, Divisional Operations Team, Student Coordinator, and faculty, plan and execute operations for school-day and after-school student events, which may include but is not limited to music concerts, ceremonies, field trips, family academic events, dances, game nights, class photos, and other activities to foster student culture.
- Provide day-of support for student events.
- Play an integral role in planning and executing off-site student trips, in-school assemblies and family academic events.
- Work with Operations Manager to recruit new students
- Develop and maintain relationships with neighboring organizations for additional student needs, such as after-school programs.
Communications & Ops
- Serve as the staff advisor for the Parent Council Executive Board and oversee all Parent Council activities.
- Serve as the first point of contact by answering phones, greeting visitors, and handling a wide variety of family concerns on a daily basis.
- Develop and maintain relationships with neighboring organizations for additional student needs, such as after-school programs.

Develop and implement mass communications strategy for parents/families/guardians, which may include but is not limited to weekly newsletters, recorded calls, calendars, student permission slips, and flyers. e. Develop and implement communications with parents/families/guardians regarding student events and field trips.
- Coordinate, create and distribute the Weekly Circular for the Middle School Division
- Develop and maintain positive relationships with the school nurse and to ensure that all medications and medical records are properly maintained, and with vendors and building teams such as Custodians and School Food
- Organize, analyze, and streamline systems and processes for information collection including student records.
- Organize and assist with maintenance of school supply inventory, aesthetics, facilities, and technology support.
Pedagogical Support
- Track school data, including scholar attendance, behavior, and other achievements/infractions; create systems that support school leaders and families in meeting school culture goals.
- Serve as back-up for and provide support to Teachers, including but not limited to covering classes, advisory and electives.
- Assist with various student-facing responsibilities, including but not limited to lunch/recess, advisory and electives.
- Coordinate the collection and ongoing maintenance of all student records and files
Team Support
- Perform clerical duties as may be needed, including but not limited to; coordinating meeting logistics, drafting agenda, taking meeting minutes, filing, copying, answering phone calls, fielding general inquiries, submitting purchase requests, others.
- As member of the Division Ops Team, provide support for student-facing and other pedagogical tasks to ensure successful school operations, which may include but not is limited to supporting student-facing school ops tasks
- May be assigned to special projects and provide back-up support to other teams and/or school events as may be needed to ensure school operations run smoothly.
- May serve as back-up scheduler for last-minute callouts or other staffing coverage.

Position Qualifications
Educational Background and Work Experience
- Bachelor’s degree from an accredited college or university
- 1-2 years of experience working in an office environment
- Previous experience working with children.
? Bilingual Spanish and English, with verbal and written proficiency in both languages
? Preferred: Demonstrated experience working in a non-profit organization or school in the areas of administration, operations, events, and/or project management
