Do you love making things run smoothly and bringing thoughtful touches to big events? As the Camp Operations Assistant at National Math Camps, you’ll play a critical behind-the-scenes role in ensuring that camp runs smoothly, efficiently, and joyfully. You’ll handle the logistics and operational details that allow faculty, counselors, staff, and campers to focus on learning and community-building.


From preparing materials for ceremonies, assembling nametags and swag, organizing yearbooks, and welcoming visitors, to managing printing, supplies, and first-tier tech support, you will help orchestrate many of the moving pieces that make camp memorable and successful. This role is ideal for someone who thrives on organization, enjoys supporting others, takes pride in polished and thoughtful details, and brings a calm and positive presence to a fast-paced summer environment.


For 2026, our camps will be held at Harvey Mudd College in Claremont, CA, and William Peace University in Raleigh, NC, with each camp hosting two 2-week sessions. Camp Operations Assistants are onsite for 5 weeks, with room, board, and round-trip travel provided.


The Camp Operations Assistant role is great preparation for eventually serving as a Camp Director or Camper Support Director with National Math Camps. We’re excited to have our staff continue to grow with us as we open new camps in the coming years!

What You’ll Do - Before Camp (15-25 hrs total)

  • Collaborate with the Camp Director and HQ team to prepare operational materials, opening ceremony slides, and staff training resources.
  • Prepare files for nametags, schedules, handouts, visitor packets, and yearbook elements.
  • Collaborate with the Camp Director to review and update checklists and systems for supplies, printing requests, and day-of logistics.
  • Participate in pre-camp remote training sessions.


What You’ll Do - At Camp

  • Support daily operations: Assist the Camp Director with day-to-day coordination, communicate with venue contacts, and step in wherever additional support is needed.
  • Manage supplies and printing: Run supply errands, maintain organized storage systems, and print worksheets, problem sets, and other materials as requested by faculty.
  • Provide first-tier tech/system support: Troubleshoot basic issues with the camp management system, including attendance and check-in/check-out questions.
  • Support special events: Coordinate logistics for field trips, ceremonies, catered meals, and other major events, preparing slides, programs, signage, and materials.
  • Support camper arrivals and departures: Assist with camper check-in/check-out and help coordinate airport pickups or drop-offs as needed.
  • Coordinate staff meals: Select restaurants and organize food orders for staff-only meals during training, between sessions, and at other key moments.
  • Prepare welcome materials: Assemble nametags, swag bags, information packets, and other welcoming materials for campers, staff, faculty, and visitors.
  • Welcome faculty, staff, and visitors: Manage arrival logistics and ensure guests have a smooth and warm experience.
  • Add special touches to camp life: Coordinate birthday acknowledgments and appreciation gifts or notes for faculty, staff, and speakers.
  • Create camper yearbooks: Collect photos and quotes throughout camp and compile them into session yearbooks for campers.
  • Assist with camper medication administration: Assist with the administration of camper evening medications as directed by the Camp Nurse, following all safety and documentation procedures.
  • Act as a responsible credit-card holder: Make thoughtful purchasing decisions, retain and organize receipts, and submit timely expense reports.
  • Assist with other duties as assigned: We each have specific roles, but making camp run smoothly requires everyone to pitch in when needed.

Experience & Background

  • 21+ years old, ability to pass a driving background check and willingness to operate an automatic transmission vehicle.
  • Prior experience with administrative work or event coordination preferred.
  • Prior experience with summer camp or other educational/youth programs preferred. 
  • Comfortable with basic software tools such as Google Drive (including slides & spreadsheets), Slack, Trello, Canva, and printing systems.

  • Strong communication skills with the ability to convey information clearly to faculty, staff, visitors, and campers.
  • Creative and polished with printed materials, presentations, and visual organization.

  • Positive team player who takes initiative and enjoys supporting others.
  • Comfortable working in a fast-paced residential environment where needs can shift quickly.

Dates

We have the following dates & locations available for summer 2026:

  • 6/16 - 7/20 at Camp Conway (Harvey Mudd College, Claremont, CA)
  • 6/23 - 7/27 at Camp Sierpinski (William Peace University, Raleigh, NC)

These dates include on-site staff training followed by two 2-week camp sessions. 


Compensation

  • $4,500 for the full period listed above, plus room, board, and round-trip travel
  • Up to 25 hours of remote pre-camp training and preparation, paid at $22.50/hour


Note about California positions: Due to California labor laws, the Operations Assistant at Camp Conway is paid hourly while at camp rather than via a stipend. However, we will ensure that the total compensation is at least the amount listed above.
