Fedcap NYC provides programs and services that change the lives of marginalized people facing barriers to economic and social well-being. Our Transition Planning & Transportation program (TPT) provides comprehensive, culturally competent services to individuals detained in city jails and supports their successful reentry into the community. As Operations Assistant, you will be a core member of the Fedcap TPT team, responsible for providing administrative support services for staff and participants of Jail-Based services.
Your Responsibilities Will Include:
Operations & Program Support
- Provide participant reception services, greet participants, and answer and direct phone calls from the hotline.
- Ensures Workshop Facilitators have the supplies necessary for the workshop space
- Print reports and review for errors and inconsistencies
- Tracks invoices for the program
- Tracks reports for DOC and FedcapCARES
- Tracks participant signatures for events and disbursements
- Enter participant demographic data and action codes and scan documents into databases.
- Provides reports supporting the billing and reconciliation process
- Collaborates with management on the collection of accurate and efficient performance data
- Track and upload daily PICs custody and discharge reports in FedcapCARES
- Tracks attendance in workshops and transition planning sessions in FedcapCARES
Collaboration & Team Support
- Participate in weekly team supervision and monthly partnership meetings to discuss progress, performance, and participant needs.
- Collaborate with Transition Managers, Workshop Facilitators, and community partners to ensure seamless coordination for 80% of active cases.
- Contribute to monthly data reporting and quality assurance reviews, identify areas for improvement, and ensure a ≤10% error rate in documentation.
Data Accuracy & Documentation
- Scan all transition plans and supporting documentation into FedcapCARES within 48 hours of service delivery.
- Ensure all data entry, reports, and case notes comply with DOC and Fedcap confidentiality and compliance
Professional Conduct & Compliance
- Maintain DOC clearance and comply with all facility and Fedcap policies regarding safety, conduct, and confidentiality.
- Complete 100% of required DOC and Fedcap trainings annually and maintain compliance certifications.
- Demonstrate punctuality and professional conduct in ≥ 90% of scheduled shifts.
- Represent Fedcap with professionalism, cultural sensitivity, and a commitment to equity and inclusion.
You're a Great Fit for This Role If:
- You have a High School diploma or equivalent required; an associate degree or equivalent experience preferred.
- Bring a minimum of 1 year of experience in administrative support.
- You have lived experience of incarceration or justice involvement strongly preferred.
- You have experience working with justice-impacted individuals, public assistance recipients, and those affected by poverty.
- Strong interpersonal and communication skills with the ability to build trust quickly
- Comfortable working with Microsoft Office and data systems.
Compensation:
$24.04 - $26.45 per hr.
