Description

Operations Administrator - AMP - Lewisville, TX, Monday to Friday, 8:00 AM to 5:00 PM 

 

Acts as assistant to Operations Director, Managing Director and Physicians.  Coordinates and codes invoices, oversees facilities maintenance and issues, maintains daily operations and building issues. May be involved in basic employee issues.  Also will oversee the licensure process. 

Assists with Operation problem resolution and projects. Assists in maintaining inspection ready status at main lab as well as off sites. Writes Standard Operating Procedures (SOP). Assist Operations and Quality Assurance (QA) departments. Address day to day operational issues for specific non technical departments. Backup to Safety Officer. May also perform administrative and training duties to assist in daily operations. Requires limited supervision. Assists with special projects.  Performs all other duties assigned. 

 

Pay range: $60,500+ per year

Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

Responsibilities
  • Treat each internal and external guest interaction in an attentive, courteous and efficient manner 
  • Maintains HIPAA compliance by having visitor’s sign-in and fill out Confidentially Agreement 
  • Ensures assigned areas of responsibility meet all standards and regulatory requirements. 
  • Maintains and follows the policies and procedures of the organization 
  • Maintains a database system of all issues and documentation. 
  • Meets all compliance requirements 
  • Process and maintain applications and fees for renewing facility licensure, Clinical Laboratory Improvement Act (CLIA) numbers, College of American Pathologists (CAP) accreditation and city and county occupational licenses. 
  • Process and maintain physician medical licenses, occupational licenses and Drug Enforcement Agency (DEA). 
  • Maintain and track medically related, legal activity and files. 
  • Ensure legitimacy of requests for depositions, medical records and original and recut slides. Produce reports, bills, original and recut slides and blocks in response to legal requests. Schedule pick-up or delivery of required materials and depositions.  Bill for all services accordingly.  Track billed invoices for payment 
  • Obtain, renew and maintain hospital privileges for pathologists at contracted hospitals and surgery centers. 
  • Maintains building security integrity, issues all guest visitor badges 
  • Keeps front office reception area neat, organized and secured after office hours 
  • Oversees service & repairs for office equipment, shredding service, vending machines, ext. 
  • Assist with various tasks and projects for Human Resources 
  • Ability to inventory, maintain, and reorder necessary site supplies, to include clerical, professional, and technical supplies. 
  • Enters coded or other data to complete cases. 
  • Answers telephones and Client inquiries with demonstrated knowledge. 
  • Monitors Client status to ensure timely TAT. 
  • Performs quality assurance checks on completed work. 
  • Trains other employees on procedures. 
  • Ability to work independently with minimal supervision. 
  • Ability to work under pressure with time constraints. 
  • Ability to concentrate.

Qualifications

Required Work Experience:  

5 years lab administration experience/operations 

Preferred Work Experience:  

7 years lab administration experience/operations 

Physical and Mental Requirements:  

  • Primarily sedentary work 
  • May require walking throughout the building to various other departments, copiers, printers, fax machines, etc. 
  • May require lifting and carrying of loads up to 20 lbs. 
  • Ability to visually, physically, and audibly perform all functions, with or without reasonable accommodations. 

Knowledge:  

  • Knowledge of medical terminology, anatomy and physiology, clinical medicine, surgery, diagnostic tests, radiology, pathology, pharmacology, and the various medical specialties as required in areas of responsibility. 
  • Knowledge of licensure process 

Skills:  

  • Strong customer service skills, along with high proficiency in PC levels to include Word and Excel. 
  • Excellent written and oral communication skills, including English usage, grammar, punctuation, and style. 

Education

  • Associates Degree (Preferred)
  • High School Diploma or Equivalent (Required)
