A leading university is seeking a Logistics and Program Support Manager to support the delivery of custom education programs and administrative operations. This role will coordinate in-person program logistics, manage stakeholder communications, oversee vendor and event operations, and ensure exceptional participant experiences for programs serving learners.

Logistics and Program Support Manager Responsibilities:

  • Coordinate end-to-end logistics for in-person programs and events, including facilities, catering, vendors, equipment, venue management, scheduling, and cross-functional stakeholder collaboration.
  • Manage complex program calendars, resolve scheduling conflicts, maintain detailed records, and support administrative workflows, including expense justifications and operational documentation.
  • Lead meetings with stakeholders to plan program scope, event formats, timelines, and operational requirements while ensuring seamless delivery and participant experiences.
  • Manage event and program budgets, procure and negotiate vendor services/contracts, evaluate event locations, and monitor costs to minimize liability and operational risks.
  • Staff on-campus events, investigate and document issues or complaints, maintain strong relationships with internal and external partners, and provide ongoing operational support for the Custom team.

Logistics and Program Support Manager Qualifications:

  • 5+ years of experience preferred in event planning, logistics coordination, program support, or related operations roles.
  • Bachelor’s degree and 3+ years of relevant experience, or an equivalent combination of education and experience.
  • Proven experience managing and planning events within a university is preferred.
  • Demonstrated success managing event teams, budgets, timelines, and multiple complex projects simultaneously.
  • Proficiency with Microsoft Office Suite, FileMaker Pro, Google Docs, Forms, and cloud-based applications.
  • Experience cultivating relationships with vendors, partners, faculty, staff, and customers.
  • Valid California noncommercial Class C Driver’s License.

Shift:

  • Full-time position through August 7, then will convert to Part-time for the remainder of the contract.
  • 9:00 am to 5:00 pm. Early morning or late afternoon, as needed.
  • On-campus work may require a 7:00 am start time on certain days.
