Job purpose:
The Groups Operations Coordinator plays a vital role in the operational success of group travel bookings, supporting files from confirmation through departure. This position collaborates closely with other position to manage timelines, coordinate air and land arrangements, oversee supplier and airline payments, and conduct final quality control on travel documentation. Serving as a key liaison between internal teams, suppliers, airlines, and subagents, the coordinator ensures accuracy, efficiency, and a consistently high standard of service across all group travel operations.
What will be your key responsibilities?
Group File Management: Collaborate with Group Specialists on back-end tasks, manage file deadlines, and ensure timely completion of group travel documentation.
Air Travel Coordination: Assist with air quoting, contract management, and special requests (seats, meals, etc.). Ensure timely deposits and ticket issuance.
Supplier & Airline Payments: Request, track, and confirm payments from suppliers/airlines, ensuring deadlines are met.
Verification & Itinerary Management: At 90 days out, verify and update itineraries, communicate changes to internal teams and external partners, and maintain alignment with supplier confirmations.
Ticketing & Documentation QC: Oversee ticketing, ensure passport information is accurate, and perform final quality control checks on all documents before dispatch.
Team Collaboration: Work closely with the Group Specialists, liaising on file statuses, requotes, and itinerary changes. Be the go-to person for troubleshooting issues and escalating when necessary.
Quotes & Bookings: Convert quotes to bookings, ensuring all details are accurate and aligned with the confirmation letter.
Covering for Group Specialist: In the absence of a Group Specialist, manage incoming requests and assist subagents, ensuring all groups are well taken care of as needed.
This will be an evolving role as we move into new systems in 2026 and tasks will adapt with this.

Communication Savvy: Strong interpersonal and written communication skills, with the ability to work with both internal teams and external suppliers.
Tech-Savvy: Proficiency in travel management systems (Amadeus) and Microsoft Office Suite.
Group Travel Knowledge: Familiarity with group bookings, airline contracts, and payment processing.
Collaborative Spirit: Ability to work well in a team while independently managing responsibilities.
Adaptability: Comfortable troubleshooting and problem-solving in dynamic situations.
