Nature and Scope
Reporting to the Manager, Ancillary Operations (MAO), the Ancillary Operations Co-Ordinator is responsible for coordinating and supporting the delivery of reliable event and labour services across multiple SA venues and departments, including the Algonquin Commons Theatre (ACT) and Student Commons spaces. The role provides day-to-day operational coordination, leads the scheduling and work of the Event Operations Team, and supports event readiness, venue upkeep, and basic technical services. The Co-Ordinator acts as a visible and professional SA representative and works collaboratively with internal departments and ACT technical staff to ensure events and operations are executed safely, efficiently, and to standard.
Job Duties
Team Coordination & Scheduling
- Coordinate and support the work of the Event Operations Team, including scheduling, shift assignments, task delegation, and day-to-day supervision.
- Prepare clear shift notes outlining tasks, expectations, and secondary duties.
- Monitor employee timesheets in Deputy and notify the MAO of discrepancies prior to each pay period.
- Support training, mentoring, and onboarding of Event Operations and Stage Door staff.
Event Operations & Venue Readiness
- Coordinate event setup, operation, and reset activities, including furniture and equipment moves, signage placement, décor layouts, janitorial coordination, bar support, and stage door coverage.
- Ensure event spaces are prepared according to approved layouts and operational requirements.
- Act as a point of contact during events to support client, guest, and departmental needs.
- Engage third-party suppliers (e.g., rentals) as required and in coordination with the MAO.
Facilities, Equipment & Inventory
- Maintain standard room layouts for SA spaces and ensure layouts are executed accurately.
- Oversee inventory, upkeep, and basic maintenance of Ancillary A/V equipment, furniture, fixtures, and supplies.
- Coordinate preventative maintenance needs and liaise with Algonquin College services when required.
- Ensure all ACT and Ancillary spaces remain clean, organized, and service-ready.
Technical & Production Support
- Provide basic A/V setup and operation (e.g., PA systems, projectors, screens, pipe and drape).
- Coordinate with ACT technical staff for advanced or specialized technical requirements.
- Support production timelines and schedules to ensure efficient use of staff and resources.
Training, SOPs & Safety Compliance
- Support the development, implementation, and ongoing use of training materials, standard operating procedures (SOPs), and checklists for Event Operations and Stage Door staff.
- Promote and monitor compliance with health and safety policies and regulations, venue capacity limits, and emergency procedures.
- Take appropriate action during incidents or emergencies, including coordination of evacuations where required.
Administrative & Systems Support
- Assist with maintaining the ACT booking system and operational calendar.
- Create and update event layouts using CAD software as directed by the MAO.
- Provide operational support to other SA departments as needed to meet event and service requirements.

Desired Skills and Qualifications
- Minimum two (2) years of experience in live events, venue operations, or a post-secondary environment.
- Working knowledge of venue safety standards and operational procedures.
- Experience coordinating teams in a fast-paced, service-oriented environment.
- Familiarity with basic A/V setup and operation.
- Strong organizational, communication, and customer service skills.
- Ability to plan and manage multiple priorities simultaneously.
- Experience with bar operations will be considered an asset
- Experience with catering procedures will be considered an asset
- Bilingualism (English/French) will be considered an asset
Requirements:
- Ability to lift up to 50 lbs. and work in a physical labour environment
- Steel-toe footwear required.
Compensation:
- This position is part of CUPE Local 5154 – pay Level 4 ($31.42 to $34.81 per hour)
- This position is a full-time position, 35 hours a week (work week will be flexible with some weeks being more hours and some less hours, and workdays may change from week to week and will include evening and weekend hours).
