Reports to: Business Analyst

Schedule: Full-time, year-round, Monday–Friday, 8:00 a.m. – 5:00 p.m. with extended hours as needed from April - November.
FLSA Status: Hourly (Non-Exempt)


Position Overview

This role is critical to keeping our equipment moving safely, legally, and efficiently across multiple states.  The Fleet Operations Coordinator will serve as the primary point of contact for our lowboy drivers, managing oversize/overweight permits and ensuring all truck compliance documentation is current and accurate. This is a high-responsibility position with real operational impact.  This role is ideal for someone who thrives in structured environments, values precision, and takes pride in preventing problems before they occur.


Key Responsibilities

Transportation Permitting & Routing

  • Prepare and submit daily oversize/overweight permits in MN, ND, SD, IA, and MT
  • Manage annual permit renewals
  • Review dispatch requests to verify accurate load dimensions and weights
  • Coordinate permitted routes with drivers


Fleet Compliance & Documentation

  • Maintain complete and current truck compliance packets
  • Track and renew registrations, cab cards, IFTA documentation, and logbooks
  • Monitor expiration dates and proactively address renewals
  • Ensure compliance with DOT and state regulations


Driver & Operations Support

  • Serve as the go-to contact for lowboy drivers
  • Communicate route restrictions, documentation requirements, and compliance updates
  • Coordinate with internal asset and operations teams


Education & Experience

  • Associate’s or Bachelor’s degree in Business, Management, Accounting, Finance, or related field preferred
  • Strong attention to detail and process discipline
  • Excellent written and verbal communication skills
  • Comfort managing recurring deadlines and compliance tracking
  • Strong computer skills
  • Proficiency in Microsoft Excel and Outlook
  • Ability to learn regulatory systems and permitting portals
  • Ability to read and understand maps


Heavy equipment knowledge is helpful but not required. We provide structured training and documented processes.
