Finance Operations Specialist
The Finance Operations Specialist provides operational, analytical, and program support to the Vice President of Finance, PMO, and the Finance organization. This role ensures smooth execution of financial workflows, supports cross-functional program activities, and strengthens operational efficiency across the department. The ideal candidate is highly organized, proactive, and comfortable navigating a fast-paced, evolving environment.
Responsibilities
Manage calendars, meeting logistics, agendas, and documentation for Finance and PMO leadership.
Support financial operations including data entry, reporting, invoice processing, and workflow tracking.
Maintain and improve operational logs, databases, dashboards, and tracking systems.
Assist with project planning, scheduling, milestone tracking, and cross-functional coordination.
Track action items, risks, and deliverables across multiple programs.
Prepare program documentation, status updates, and presentations for leadership and stakeholders.
Identify process gaps and recommend improvements to enhance operational efficiency.
Serve as a liaison between internal teams, external partners, and senior leadership.
Create, edit, and quality-check presentations, reports, and documents.
Coordinate travel and prepare expense reports for senior leadership.
Handle confidential information with discretion and sound judgment.
Support board meeting preparation as needed.
Build strong relationships with stakeholders and vendors.
Perform ad hoc tasks and special projects assigned by Finance or PMO leadership.
Key Qualifications and Skills
Minimum 5-7 years of relevant experience; experience supporting senior leadership preferred.
Bachelor’s Degree required.
Strong judgment, discretion, and problem-solving skills.
Ability to anticipate needs and operate effectively in a fast-paced environment.
Excellent written communication and interpersonal skills.
Highly organized, with strong time management and the ability to prioritize multiple tasks.
Proficiency with MS Office Suite.
Experience reporting and tracking deliverables.
Prior operations or project/program management experience.
Proficiency with SharePoint, Jira, and Confluence.
Team-oriented, with the ability to work independently and escalate appropriately.
Demonstrated integrity, openness, and commitment to collaboration.
Job details:
Salary Range 9: $102,804 - $154,206
* We typically place offers in the lower to middle portion of the range to maintain internal equity and allow room for growth. Any salary offered within the posted salary band is based on market data and commensurate with the selected individual’s qualifications experience. This range is specific to Washington State.
