About this opportunity

The Facilities Operations Coordinator is a newly established, hands-on operational role at CBI Health responsible for the centralized intake, coordination, and execution of facilities and FF&E service requests across CBI’s national clinic portfolio. Working closely with the Facilities team, this role operates the facilities ticketing system and serves as a primary point of intake and coordination for work orders across sites in Canada.

The Coordinator owns the full lifecycle of facilities tickets, including intake, triage, prioritization, assignment, tracking, escalation, and closure, ensuring maintenance, repair, and site-related issues are resolved efficiently and with minimal disruption to clinic operations. Acting as a key liaison between clinics, landlords, property managers, trade vendors, and internal teams, the role ensures work is clearly scoped, appropriately routed, and progressed in line with service-level expectations, approved budgets, and organizational standards.

Success in this role requires strong working knowledge of building systems and trade services, the ability to manage multiple concurrent work orders in a fast-paced, high-volume environment, and sound judgment to make practical, real-time decisions that keep clinics safe, functional, and operational.

Salary range: $59,000 to $65,000

Facilities Coordination 

  • Supports the coordination and execution of the full lifecycle of facilities, FF&E, and other site-related service requests across CBI Health locations using the internal ticketing system. This includes intake, triage, prioritization, tracking, and closure of requests, working in collaboration with the Facilities team to ensure service-level expectations are met and clinic operations are effectively supported.
  • Track and report on work orders, coordinating with internal teams, landlords, and vendors to ensure timely, high-quality resolution and serving as the primary point of contact for site inquiries.
  • Coordinate, prioritize, and assign work orders based on operational impact, urgency, and site needs.
  • Coordinate delivery schedules and material requirements across multiple sites.
  • Review, validate, and process purchase orders and invoices to ensure accuracy, correct cost-center coding, and timely payment, while serving as the primary point of contact for vendor inquiries related to invoicing, payment status, and vendor setup in collaboration with Finance and Procurement.

Trade & Vendor Coordination

  • Coordinate day-to-day facilities work with trade vendors, including but not limited to:
    • HVAC
    • Plumbing
    • Electrical
    • General maintenance / handyman services
    • Fire & life safety
    • Demonstrate working knowledge of which trade is required for common building and clinic issues and how to scope work appropriately.
    • Schedule and coordinate site access, vendor attendance, and follow-up activities.
    • Act as a liaison between clinics, landlords, property managers, and vendors to ensure responsibilities are clear and work is completed efficiently.
    • Support resolution of urgent and reactive issues (e.g., leaks, equipment failures, safety concerns) with speed and professionalism.

Operational Execution & Pace

  • Manage multiple concurrent work orders across regions while maintaining accuracy, responsiveness, and strong follow-through.
  • Dynamically reprioritize work in response to operational impact, clinic needs, and emerging risks.
  • Maintain clear, proactive communication with clinics to set expectations and provide status updates.
  • Identify recurring issues, inefficiencies, or service gaps and escalate opportunities for longer-term facilities improvements.

    What you need to be successful

    • 2–5 years of experience in facilities coordination, building operations, property services, or a related operational role.
    • Hands-on experience using ServiceNow or similar work-order / ticketing systems
    • Strong understanding of building systems and trade services and how to engage the right vendor for the job.
    • Proven ability to operate effectively in a fast-paced, high-volume environment with shifting priorities.
    • Highly organized, action-oriented, and comfortable making practical decisions.
    • Strong communication skills with the ability to work confidently with clinics, landlords, and vendors.
    • Comfortable tracking work orders, documenting actions, and following issues through to completion.
    • Experience in healthcare, multi-site, or geographically distributed environments is an asset.

    LANGUAGE REQUIREMENT

    • Proficiency in English (written and verbal); French/English bilingualism is an asset.
